$24-30 per hour, full benefits offered
SCHEDULE
4/10 schedule (flexible rotation across Monday-Thursday or Tuesday-Friday to ensure full weekly coverage)
Hours: 6:00 AM – 4:30 PM (flexible as needed)
Overtime and weekend work may be required based on project demands
CONTRACT TERM
1-year contract with strong likelihood of extension based on performance and business needs
POSITION OVERVIEW – Operations and Services Office Administrative Assistant
The Operations and Services Office Administrative Assistant will provide administrative and operational support to the Asset Retirement team, helping ensure efficient execution of projects involving decommissioning, environmental management, regulatory compliance, and operational planning. This individual will serve as a key resource for documentation management, reporting, scheduling, procurement support, stakeholder coordination, and office operations.
The ideal candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities while working across various business systems and technologies. Experience supporting operations, engineering, project teams, or regulated industries is highly desirable.
RESPONSIBILITIES
• Provide administrative support to Asset Retirement, Operations, Environmental, Land, and Project Management teams
• Manage calendars, schedules, meetings, conference calls, workshops, and training sessions
• Coordinate travel arrangements, lodging, and logistics for leadership and project personnel
• Maintain highly accurate project documentation, records, reports, permits, compliance documentation, and operational files
• Assist with document control, records retention, and audit preparation activities
• Track project milestones, action items, contractor deliverables, budgets, schedules, and operational metrics
• Support procurement activities including purchase requisitions, purchase orders, invoice processing, expense reporting, and vendor coordination
• Prepare correspondence, presentations, reports, spreadsheets, and meeting materials
• Maintain and update databases, tracking logs, SharePoint sites, and reporting tools
• Coordinate communication between project teams, field personnel, contractors, vendors, and leadership
• Support onboarding activities, training coordination, and administrative processes for project personnel
• Ensure confidentiality, accuracy, and compliance of sensitive operational and project-related information
• Assist with special projects and additional administrative duties as assigned
TECHNICAL CRITERIA / REQUIRED SKILLS
• 3 years of experience in an Administrative Assistant, Office Administrator, Executive Assistant, Operations Coordinator, Project Administrator, Project Coordinator, or similar role
• Strong proficiency with Microsoft Office 365 including Outlook, Excel, Word, PowerPoint, Teams, and SharePoint
• Experience supporting operations, engineering, energy, utility, infrastructure, construction, environmental, industrial, or technical organizations preferred
• Experience working in regulated environments where accuracy, compliance, documentation control, and audit readiness are critical
• Demonstrated ability to manage multiple business systems, enterprise software platforms, and document management tools simultaneously
• Experience with technologies such as SAP, Ariba, Oracle, SharePoint, ServiceNow, Salesforce, Maximo, Smartsheet, Power BI, Concur, DocuSign, or similar platforms is highly desirable
• Familiarity with compliance-related documentation, records management, permit tracking, audit support, contractor documentation, or document control processes is a strong plus
• Excellent organizational, communication, and time-management skills
• Strong attention to detail and ability to maintain accurate records in a fast-paced environment
• Ability to work independently while supporting multiple stakeholders and competing priorities
EDUCATION
• High School Diploma or GED required
• Associate’s Degree in Business Administration, Office Management, or a related field preferred
