Essential functions (job duties):

Position Purpose:
The Program Project Assistant II supports faculty, staff, students and trainees in the Genetic Counseling Program as well as with the Center for Molecular Medicine and Genetics (CMMG) by helping coordinate activities, events and services that enhance their academic and professional experience. This role serves as a supplemental point of contact for information, resources and program support. This position has autonomy to set task timelines while working to meet deadlines.
Essential Functions: 
Oversee coordination and delivery of graduate coursework across the Genetic Counseling curriculum, including core courses, seminars, research projects and clinical internships with responsibility for managing and supporting 20 enrolled students with internship placement across the State of Michigan including master calendar maintenance and schedule which includes managing dates, times and meeting places of all course offerings.
Manage honoraria paperwork and ensure efficient logistical coordination for guest speakers, including arrival support, directions and parking information.
Assist program directors with admissions activities including scheduling interviews, coordinating interview schedules, assembling electronic applicant packets to distribute to admissions committee members.
Maintain comprehensive contact list for the Genetic Counseling Program managed by CMMG, ensuring accuracy and accessibility through the program’s website and other communication materials. These lists include faculty and staff (with emergency contact information), current genetic counseling students, graduates of genetic counseling, clinical genetics professionals and staff across DMC/WSU genetics clinics, laboratories and research programs, as well as faculty and staff at external clinical training sites.   
Assist in the coordination and implementation of orientation process for new genetic counseling students. Together with program directors, determine and arrange orientation-week schedule. Maintain Student Handbooks and other student orientation materials.
Support CMMG procurement activities, maintain document management system, coordinate supply orders and assist with a range of human resource/payroll functions, including appointments, payments and other personnel actions as needed.
Regularly communicates with all levels of program faculty, departmental personnel, School of Medicine administrators, students, outside programs and public to obtain, interpret or dispense information and coordinate activities.
Provides operational support to Program Directors and Genetic Counseling students including; administrative support to genetic counseling students including arranging travel to meetings covered by the Genetic Counseling program and processing travel reimbursements; maintain accurate and confidential student files; manage updated and secured versions of all Genetic Counseling program forms; and arranges special projects and events such as the Genetic Counseling Journal Club, processes group, and graduation recognitions.
Supports the planning and execution of Center events.
Performs other related duties as assigned.

Qualifications:

Education:   High school completion (or GED)
 
Experience:   Experienced (minimum 2 years of job-related experience)
Minimum of 1-2 years of experience in program coordination or related higher education setting.
Experience with secure management of confidential information, required.
 
Knowledge, Skills, and Abilities:
Interpersonal, organizational and communication skills necessary to work productively with all levels of university personnel and to coordinate the activities of program faculty, graduate students, residents and medical students.
Demonstrated ability to manage multiple priorities, meet deadlines and maintain accuracy in a fast-paced environment.
Ability to work independently and collaboratively with faculty, students, staff and external partners.
Written and verbal communication skills to communicate effectively to diverse populations.
Analytical ability to identify opportunities for improvement and problem resolution.
