We’re looking for a skilled and reliable Secretary I to join our Professional Development team, where you’ll provide high-level administrative support to programs that inspire creativity, learning, and enrichment across our region.
In this role, you’ll specifically support the Arts in Education, Enrichment, Regional Spelling Bee, and Upstate Institute programs - working behind the scenes to ensure events, communications, records, and daily operations are accurate, timely, and well-coordinated. This position is ideal for someone who enjoys variety, uses good judgment, and takes pride in being a go-to support resource.

What You’ll Do
- Prepare and compose correspondence, reports, records, and other documents from notes, drafts, recordings, or source data
- Screen calls and visitors, respond to inquiries, and refer matters to appropriate staff or offices
- Schedule and coordinate meetings, conferences, and travel; maintain calendars
- Attend meetings, take and prepare minutes, and assist with related materials
- Establish and maintain confidential and general office files and records
- Receive, sort, and distribute incoming mail and communications
- Check, code, and process requisitions, claims, and bills; maintain financial, statistical, and personnel records
- Monitor and track program activities to support efficient workflow and deadlines
- Order supplies, maintain inventory, and support daily office operations
- Collect information and prepare summaries, reports, and memoranda as needed
- Operate personal computers and use common office software to support administrative functions
- Thorough knowledge of modern office practices, procedures, and terminology
- Strong written and verbal communication skills with good command of English and business math
- The ability to work independently, prioritize tasks, and manage routine administrative details
- Proficiency with personal computers and common office software (word processing, spreadsheets, databases)
- Strong organizational skills and attention to detail
- The ability to build cooperative, professional relationships with staff and the public
- Comfort handling confidential information with discretion
- A work style that supports collaboration, accuracy, and reliability
Job Qualifications
Minimum Qualifications
Candidates Must Meet One Of The Following
- Associate’s degree or higher in office administration, office technology, secretarial science, or a closely related field AND one (1) year of full-time (or equivalent part-time) paid general office clerical experience involving the use of computers and office software OR
- High school diploma or equivalency AND three (3) years of full-time (or equivalent part-time) paid general office clerical experience involving the use of computers and office software OR
- An equivalent combination of training and experience within the limits of (1) and (2)
