Description of Job: The primary purpose of this position is to provide administrative support to the agency’s Business Officer in
both accounting and human resource functions. Responsibilities include tracking and updating job descriptions, preparing position
postings for submission to County Human Resources, qualifying applications, completing background checks on new hires, in house
orientation with new hires, maintaining personnel files, tracking and maintaining applicants interviewed, processing personnel action
forms, and filing time sheets. This position will assist as directed in the preparation of personnel information for the annual budget.
This position will be a notary public to swear in witnesses for agency hearings and notarize agency documents. This position will
assist with the collecting, opening, and distributing in-coming agency mail, and other administrative duties as assigned. This position
will be back-up the Administrative Assistant for updating and maintaining the agency leave workbook, checking monthly time sheets,
and entering leave in the County Software Program .This position will also provide assistance to the Administrative Assistant with
processing and entering invoices for payment into the County Ledger system. This position requires the ability to demonstrate strict
confidentiality regarding all personnel matters. This position will provide support as needed in the daily operational functions of the
Administrative Unit.
This position will be directly supervised by the County Social Services Business Officer I.
Educational/Experience Requirements:
Graduation from High School and three years of progressively responsible administrative or clerical work with preferably at least one year
experience; or an equivalent combination of education and experience.
Commissioned as, or ability to obtain Commission as a Notary Public.
Knowledge, Skills, and Abilities
Considerable knowledge of accounting software applications
Considerable knowledge in record management procedures and practices
Considerable knowledge of office practices and procedures in a Human Resources and/or Finance environment
Ability to maintain the confidentiality of personnel records and information in discussions with employees.
Ability to establish and maintain effective working relationships with other staff, department heads, employees, and the general
public.
Skill in the use of office-based computer hardware and software applications including Microsoft Office or equivalent.
Skill in preparing electronic reports for management.
