FRONT DESK RECEPTIONIST
WAYNE COUNTY SERVICES ON AGING
GENERAL WORK FUNCTIONS
Under direct supervision, the Front Desk Receptionist is to assist and support the
provision of services by performing reception duties, directing senior center members and
visitors to appropriate staff, answering and screening telephone calls, greeting and
assisting the public. This employee will have a friendly outgoing disposition.
SPECIFIC DUTIES AND
RESPONSIBILITIES
Greet and welcome participants, guests, and staff
Direct visitors to the appropriate person or department
Manage a multi-line phone system to answer, screen, forward incoming phone calls or
take messages
Provide basic and accurate information in-person and via phone/email
Address complaints in-person and via phone/email
Receive and deliver messages
Receive and distribute daily mail/deliveries
Provide assistance and direction to visitors, staff, and senior center participants
Adhere to security protocols by managing participants sign in and monitoring building
entry procedures
Assist with Transportation Service calls
Perform various clerical tasks, including faxing, emailing, filing, photocopying, etc.
Assist with maintaining and revising Desk Manual
Issue codes to participants for use of the Computer Lab
Receive and record money received for use of printer in the Computer Lab
Issue headsets and cameras for computer lab
Issue keys to lockers
Assist with the preparation of publications relating to activities
Prepares and maintains necessary records and reports
Assist with publicity for events
Assist Seniors with signing in using My Senior Center software
Key in new Senior Center participants and revise information on current participants
into My Senior Center and issue membership cards
Issue Senior Tarheel Athletic Cards
Maintain a clean and organized reception area. (i.e. magazines put up, chairs straight,
trash picked up, declutter counter and reception desk, etc.)
Ensure all equipment (i.e. mouse, keyboard) are accounted for in the Computer Lab at
the end of the day
Ensure all items checked out during the day have been returned (i.e. headsets,
locker keys, and computer cameras)
Assist with administrative tasks such as data entry and preparing documents
Print newsletters and ensure that the newsletter stand remains stocked
Open or close building depending upon hours scheduled
Perform other duties as assigned by the Director

Exceptional verbal and written communication skills to handle interactions and
correspondence with the public and professionals
Proficiency is using office software, including Microsoft Office Suite (Word, Outlook,
Publisher, Excel).
Ability to use office equipment (e.g., fax machines, copier, and printers)
Ability to handle sensitive situations and difficult individuals
Strong problem-solving skills
Ability to work well with Seniors, volunteers, staff and the general public
Ability to prepare, organize, and maintain records and files
Ability to communicate effectively both written and verbal
Ability to identify the needs of older adults
Ability to follow instructions
Customer service skills
Ability to work with general public and fellow employees.
Ability to work flexible hours when required
MINIMUM TRAINING AND
EXPERIENCE
Minimum:
High School diploma or GED; further training in office management is beneficial
Previous experience in a front office handling receptionist responsibility preferred but not
required
Must be certified in CPR /First Aid or be willing to be certified in CPR/First Aid
Preferred:
Previous experience as a receptionist or administrative assistant
Experience working with Senior Citizens is a plus.
Associate degree in related human services or in Business field is a plus.
- Must have own transportation and possess a valid NC driver’s license
Hours:
This employee will work 25 hours per week. Flexibility of schedule is required.

FUNCTIONS
Physical Requirements: Must be physically able to operate a variety of office machines,
tools and equipment, such as a computer, printer, copy machine, fax machine, multi-line
telephone, or calculator. Tasks require the ability to exert light physical effort in sedentary to
light work, but which may involve some lifting, carrying, pushing and/or pulling of objects
and materials of light to medium weight (20-40 pounds). Tasks may involve extended
periods of time at a keyboard or workstation.

with proper format, punctuation, spelling and grammar, using all parts of speech. Requires

motion while coordinating other hand with different activities. Must have moderate levels of
eye/hand/foot coordination.
Color Discrimination: May require the ability to differentiate colors and shades of color.

receiving instructions. Must be adaptable to performing under minimal stress when confronted
