Job Summary
Watkins Concrete Block Company is looking for a customer focused, high performing Receptionist to join our team. The ideal candidate will be self-motivated, hard worker, and reliable. The person in this position provides receptionist duties in support of business operations, including compiling and maintaining employee payroll records. This position requires Saturday hours. Must abide by Company Safety Program and Policies, while performing duties safely.
Essential Duties and Responsibilities include, but are not limited to, the following:
Provides exceptional customer service by following company sales strategy and demonstrating company values to customers and co-workers.
Operates a multiline telephone system to answer incoming telephone calls, determine purpose of calls and direct calls to appropriate personnel or department. Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable for calls or customer visits.
Acknowledges and welcomes on-site visitors, determines nature of business and announces or directs visitors to appropriate personnel or department
Develops a general knowledge of company products and services to directly answer basic questions and to best pair customer and vendor inquiries with the appropriate personnel or department.
Reviews time sheets from Track-It system for all Watkins hourly employees on a weekly basis. Enter payroll data into Lawson, run edit, and submit it to Office Manager for approval. Approved summary sheets are forwarded to Payroll by designated time weekly. Collect monthly hourly time sheets and salary vacation calendars for monthly processing and submit them to Office Manager for approval.
Originates and maintains attendance records for all employees; record absences, vacations, and safety/wellness days from daily time sheets from Track-It system.
Utilizes OnBase to scan, process and store Lawson tickets and Credits into the database. Assist in research into missing orders and invoices.
Monitors the company employee tracking system and update as appropriate.
Handles and sorts daily incoming and outgoing mail. Distribute packages to appropriate personnel.
Assists in creating memos, correspondence, reports, and other documents for business personnel when necessary.
Assists Plant Superintendent and General Manager with production forms and documents, labels, data collection, QC reports and other administrative tasks as needed.
Performs other clerical duties as needed, such as filing, photocopying, collating, and maintaining the copy machine.
Other duties as assigned.
Supervisory Responsibilities: This job has no supervisory responsibilities.
Education and/or Experience:
- High School education or equivalent GED; and
- One year related experience and/or training in related field; or
- An equivalent combination of education and experience.
Certificates, Licenses, Registrations: None required.
Qualifications:
- Intermediate level of knowledge of Excel Spreadsheet software and Word Processing software.
- Must understand the confining requirements of the receptionist duties.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Spanish speaking skills are helpful but not necessary.
Other Skills and Abilities:
- 10 key calculator skills.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, percent, and to draw and interpret bar graphs.
Other Details:
- The expanded work schedule follows construction cycles, typically March through November.
- There are scheduled Saturday hours that are required during construction season.
- Off season schedule is the standard work week.
Work Environment
- Showroom/business environment. Dress code is professional business/casual.
- The noise level in the work environment is usually moderate. This is a tobacco free campus.
