Job Summary
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily office operations and manage financial records. The ideal candidate will possess strong administrative, bookkeeping, and team management skills, with experience in office and medical office management. This role requires excellent communication and organizational skills to ensure smooth office functioning, effective vendor relations, and accurate financial reporting. The Office Manager / Bookkeeper will play a vital role in supporting staff, managing schedules, and maintaining a professional office environment.
Duties
- Manage daily office operations, including front desk responsibilities and multi-line phone systems
- Oversee calendar management, appointment scheduling, and event planning for company functions
- Supervise administrative staff and coordinate training & development initiatives
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Manage payroll processing and human resources functions such as employee records and benefits administration
- Oversee vendor management, including negotiating contracts and maintaining supplier relationships
- Maintain filing systems, perform clerical duties, and ensure accurate record keeping
- Assist with budgeting processes and monitor office supplies inventory
- Ensure compliance with medical office management procedures if applicable
- Uphold professional phone etiquette and foster effective communication within the team
Experience
- Proven experience in office management, administrative support, or clerical roles
- Supervising experience in a team environment is preferred
- Proficiency in QuickBooks or similar accounting software is required
- Strong schedule management skills with the ability to coordinate multiple priorities effectively
- Experience in vendor management, payroll processing, budgeting, and bookkeeping is essential
- Background in medical office management or healthcare administration is a plus
- Quickbooks Online is a must
- Demonstrated ability to communicate clearly and professionally in person and via phone or email
- Prior experience with training & development initiatives is advantageous
Job Type: Full-time
Pay: $24.25 - $29.21 per hour
Expected hours: 8 per week
