POSITION SUMMARY:
The Dispatcher is responsible for scheduling and dispatching company drivers, equipment, and service vehicles across multiple states using dispatch and routing software. This role ensures efficient conveyance of materials and services, maintains communication with field personnel, and provides exceptional customer service. The Dispatcher is also responsible for ensuring compliance with FMCSA and DOT regulations, managing driver qualifications and hours of service, and monitoring driver safety performance in collaboration with management.
ESSENTIAL JOB FUNCTIONS:
- Utilize dispatch and routing software to schedule and dispatch drivers and service vehicles according to customer needs and specifications across multiple states.
- Communicate assignments and relay information to drivers, supervisors, and field inspectors via phone, radio, or computer.
- Prepare daily routes and work orders using routing software.
- Address customer inquiries, resolve issues, and manage service requests.
- Monitor personnel and equipment locations to optimize service and schedules.
- Maintain accurate records of customer requests, services performed, and dispatch information.
- Collect and compile operational data and reports for management review.
- Enter mileage and route data into spreadsheets and databases.
- Manage high call volumes and provide heavy customer service, including sending manifests and scheduling services.
- Review customer accounts and enter data using accounting software.
- Process accounts payable invoices and verify third-party billing.
- Operate standard office equipment (copier, scanner, fax).
- Ensure compliance with FMCSA and DOT regulations, including monitoring driver qualifications, hours of service, and maintaining required documentation.
- Monitor driver safety performance and collaborate with managers to address performance concerns and implement corrective actions.
- Coordinate with management to address regulatory issues and ensure safe, legal operation of vehicles and drivers.
- Perform special projects and other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
This position does not have direct reports. However, the Dispatcher is responsible for monitoring driver safety performance and collaborating with managers to address performance concerns, ensure regulatory compliance, and support safe operations.

QUALIFICATIONS:
- High School Diploma/GED or equivalent required and a minimum 2-3 years of experience dispatching service calls, preferably across multiple states. Experience and/or education may be combined to meet the minimum qualifications.
- Experience using dispatch or routing software.
- 1-2 years of customer service experience.
- 1-2 years of experience reporting financial information to management.
- Intermediate to advanced proficiency in Microsoft Excel and Word.
- Knowledge of FMCSA and DOT regulations, including driver qualification and hours of service requirements.
- Experience monitoring driver safety performance and managing driver files and regulatory documentation preferred.
- Bilingual (English & Spanish) preferred.
- Excellent interpersonal and communication skills.
- Strong troubleshooting and problem-solving abilities.
- Ability to work independently and as part of a team.
- Highly motivated, positive attitude, and self-starter.
- Ability to handle multiple assignments and prioritize tasks.
