Position Summary:
The Joint-Apprenticeship-Training-Committee (JATC) 669 Sprinkler Fitter Education program is administered by Washtenaw Community College to provide online course training to 4,000 United Association Local 669 Sprinkler Fitter Apprentices across multiple states. It is one of the largest distance learning Apprenticeship programs nationwide.
The primary role of the Support Specialist position is to provide call-center support, course enrollment, and document processing for student Sprinkler Fitter Apprentices. A typical day in this position involves multi-tasking; answering phones and responding to emails, processing incoming and outgoing mail, organizing documents, and ensuring student records are accurate when updating information. A secondary role is to assist the Instructional Design team by helping to proofread and/or review new courses and student materials.
This position requires computer proficiency, patience, reliability, attention to detail, and excellent customer service skills. Knowledge of the sprinkler fitting trade is not required.
This position may also support the Dean of Apprentice and Skilled Trades up to one-third of the time to provide similar administrative assistant support.
This is also an outside funded position and shall not continue beyond the life of such funding. No continuing employment rights are inferred.
Essential Job Duties and Responsibilities:
- While unsupervised, answer phone calls and emails from students to provide accurate program and student records information with friendly and efficient customer service.
- Provide basic helpdesk technical support to online students of novice ability including troubleshooting common web browser, password reset, and website log-in issues.
- Process student course enrollments and completions using Banner database.
- Update student information when necessary, review database entries for accuracy, enter new data.
- Coordinate document exchanges with JATC office, such as change-of-address reports.
- Hand-sort and process incoming/outgoing mail. Investigate returned mail.
- Print and organize student materials and other documents.
- Open/close office, unlock/lock quarters and start-up/shut down business machines unsupervised.
- Assist Engagement Admin in organizing L699 scholarship applications.
- Assist Web Administrator with testing general website functionality and user experience.
- Assist Technical Writers with proofreading course text and question banks.
- Assist Director with compiling custom reports.
- Take notes, collect meeting minutes.
- Organize stockroom and provide inventory counts.
- Help transfer materials across campus when necessary.
- Ensure business machines are operating correctly and report any problems to ITS.
- Regular attendance on campus is required for this position.
- Other duties as assigned.
Minimum Qualifications:
Minimum Required Knowledge, Skills and Abilities:
- Bachelor’s Degree OR four years of related work experience OR the equivalent combination of education and work experience.
- Previous experience in a customer service role.
- Proficiency using Windows OS, MS Office and leading web browsers with an ability to troubleshoot and solve some common problems and user errors.
- Able to use and troubleshoot other business machines such as scanners, printers, and copiers.
- Excellent interpersonal and communication skills.
- Excellent English grammar, writing style, and reading comprehension.
- High attention to detail.
- Able to format Excel cells and write simple cell formulas.
- Able to detect suspected phishing emails and practice good network and FERPA security habits.
- Able to work independently with minimal supervision, including opening or closing the call center office unassisted.
- Able to lift boxes up to 20lbs and make deliveries across campus unassisted.
- Able and enthusiastic to work short three (3) to six (6) hour shifts, three (3) to five (5) days per week, including some early evenings (until 6:00 or 6:30pm), Monday – Friday for an average of 23 hours per week.
