Office Manager – Vascular Surgery Practice
Base Salary: $60,000 – $65,000 annually
Frederick, Maryland (with local travel required)
Job Summary
Our fast-paced, high-volume vascular surgery practice is expanding, and we are seeking an experienced, hands-on Office Manager to lead our administrative and clinical support teams. This role is ideal for a proactive leader who thrives in a dynamic healthcare environment and is committed to delivering exceptional patient care.
The Office Manager will oversee daily operations, support physicians and clinical staff, and drive process improvements to ensure an efficient workflow and outstanding patient experience. This position also includes clinical support responsibilities, including assisting with procedures and participating in off-site vascular testing.
Key Responsibilities
Leadership & Operations
- Lead and manage front desk staff, medical assistants, and administrative personnel
- Ensure efficient daily operations aligned with practice goals, policies, and patient care standards
- Monitor workflow, identify inefficiencies, and implement process improvements
- Serve as the primary liaison between physicians, clinical staff, and administrative teams
Clinical & Patient Care Support
- Assist with pre- and post-operative care alongside RN and NP on procedure days
- Support off-site Ankle-Brachial Index (ABI) testing, including travel to partner locations
- Maintain patient safety standards and ensure a clean, compliant clinical environment
Staff Development & Compliance
- Train and onboard new team members on office protocols, EMR systems, and workflows
- Manage staff scheduling, performance, and accountability
- Handle confidential personnel and operational matters with professionalism and discretion
Administrative Oversight
- Ensure accurate documentation, scanning, and maintenance of patient and physician records
- Oversee EMR workflows (Athena Health preferred)
- Support billing processes and ensure proper documentation for reimbursement
- Manage facility-related issues and coordinate with vendors as needed
Qualifications
Experience
- Minimum 5 years of experience managing a busy medical or surgical practice
- At least 2 years of Medical Assistant experience (procedure support preferred)
Technical Skills
- Strong knowledge of medical billing and revenue cycle processes
- Experience with EMR systems (Athena Health required)
- Proficient in Microsoft Office Suite
Leadership & Communication
- Proven ability to lead, motivate, and develop high-performing teams
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent interpersonal, problem-solving, and patient service skills
Requirements
- BLS/CPR Certification (Required)
- High School Diploma or equivalent (Preferred)
- Reliable transportation and willingness to travel to off-site locations
