Position Summary

Assists program director in the management and direction of resident training program ensuring program compliance and maintaining essential documentation for program. Coordinates educational activities for incoming and current residents and functions as a liaison between residents, departments, attending physicians, administration and outside institutions. Also functions as Program Coordinator for the R25 Training Program, ensuring alignment with NIH requirements for documentation and compliance. Residency and R25 responsibilities will be split roughly 50/50.

Job Description

Primary Duties & Responsibilities:

Residency

  • Reviews applications of residency or fellowship program applicants, schedules and coordinates yearly interviews for selection of new residents or fellows, establishes files of completed applications and related materials, corresponds with individuals and those who are accepted into the program.
  • Coordinates residents/fellows schedules, rotations, vacations, call and conference schedules and documents attendance and absence excuses.
  • Arranges for phone or pagers, white coats, lockers and mailboxes and for certificates of program completion.
  • Reviews ACGME requirements for the program(s) and evaluates program(s) to assess and ensure compliance.
  • Maintains all records and documentation required by the ACGME and supervises the collection of data fulfilling requirements of ACGME and other licensing and credentialing boards.
  • Prepares reports and compiles statistics.
  • Compiles faculty and resident evaluations.
  • Participates in preparation of budget as it relates to residency/fellowship program.
  • Performs other duties as assigned.

R25

  • Assist with R25 trainee recruitment, onboarding/offboarding, and tracking.
  • Coordinates mentor/mentee activities, resident research requirements, and RCR compliance.
  • Arranges R25 educational/research programs (ACDC, Ogura Day, CREST, Critical Appraisal, ABT).
  • Handle event logistics, speaker coordination, travel, evaluations, and on-site support.
  • Tracks publications, alumni, research projects, and PGY3 research residents.
  • Coordinates medical student travel and resident clinical elective rotations.
  • Maintains program communications, marketing materials, and website updates.
  • Assist with preparing NIH RPPR and various program reports.
  • Schedules advisory committee meetings, exit interviews, and program reporting.

Salary Range

$23.37 - $36.19 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
