DSHS ESA Administrative Assistant 3

The Department of Social and Health Services (DSHS ), Economic Services Administration (ESA) , Community Services Division (CSD), is seeking a full-time Administrative Assistant 3 to join the Northwest Team at the Statewide Customer Service Contact Center.

In this role, you will handle high-level administrative support duties, providing crucial support to the Northwest Team Administrator. Your work will be key to the effective operation of CSD Administration within the Statewide Customer Service Contact Center, and you will collaborate with co-located Community Services Offices.

Some Of What You’ll Do

  • Serves as the Administrator’s delegated representative for coordinating contact center information, responding to inquiries, and resolving issues with a large number of staff and vendors in a timely and professional manner
  • Prepares and delivers technical information to large groups of staff through written materials, presentations, and verbal communication
  • Coordinates all travel arrangements and maintains accurate records of travel itineraries
  • Performs advanced tasks using Word, Excel, Visio, and other Microsoft Office applications, including data processing, document merging, sorting, and integrating text with graphics, spreadsheets, and data files. Proficient in scheduling, coordinating, and troubleshooting video conferencing platforms
  • Develops, updates, and maintains financial and office documentation; applies the Administrator’s delegated signature when appropriate; attends meetings and represents the Administrator as needed; manages office record-keeping and filing systems
  • Monitors compliance with administrative policies and internal controls. Acts on behalf of the Administrator during Risk Assessments and Self-Evaluations and serves as a designated representative in meetings
  • Provides recommendations for improving internal controls and oversees budget-related activities, including monitoring expenditures for travel, training, supplies, and equipment
  • Manages procurement, inventory, and ongoing oversight of office space, equipment, and related resources
  • Builds and maintains effective working relationships with staff, leadership, and external partners
  • Coordinates unit operations by managing calendars, scheduling meetings, and ensuring efficient workflow
  • Serves as a liaison between managers and staff by communicating assignments, tracking progress, and relaying information as needed
  • Acts as records coordinator for multiple units, ensuring compliance with retention and documentation standards

Who Should Apply

High school diploma or equivalent

AND

Three years of clerical, office or administrative experience.

OR

An Associate’s degree in business administration, public administration, or a closely related field may substitute for experience.

AND

One year of experience as an Administrative Assistant 2 or two years as an Administrative Assistant 1.

Equivalent education/experience.

NOTE: Some positions may require keyboarding or typing accurately at a net speed of 50 words per minute or faster.

Preferred Knowledge, Skills And Abilities

  • Proficient in Excel, Visio, Word, and video-conferencing tools; able to use multiple applications simultaneously
  • Communicates professionally with diverse customers, including de-escalating difficult interactions and maintaining confidentiality
  • Strong multitasking, time-management, and organizational skills; able to work independently or as part of a team
  • Accurately directs customers to appropriate resources and applies relevant WACs, RCWs, and Administrative Policies
  • Efficiently maintains and retrieves physical and electronic files; knowledgeable in DSHS Risk Assessment and Self-Evaluation procedures
