We are seeking a detail-oriented and highly organized Office Manager with accounting and human resources experience to oversee daily office operations and manage key accounting functions, including accounts payable and payroll. This role is essential to ensuring smooth financial and administrative operations within the agency. The Office Manager is responsible for establishing an efficient and positive organizational environment by effectively managing office facilities, finances, systems, schedules and procedures. The management assumes responsibility for daily operations and special function needs.
Responsibilities:
Front office duties: welcome visitors, handle mail, manage phone communications, etc
Accounting duties: process and verify invoices, schedule and make payments, maintain accurate accounts payable ledgers, track expenses, reconcile accounts, maintain vendor files, contribute to financial reporting and audit preparation
Human resources: enroll and orient new staff members, maintain staff personnel files, process payroll, liaison with health/life/disability insurance carriers
Other duties: petty cash reconciliation, general IT support, administrative coordination of Continuum of Care Housing program, management and maintenance of office facilities and equipment, secretarial support to Board of Directors, support other staff members as needed
Ideal Candidate will have:
High school diploma required with a minimum of 3 years experience relevant to duties as described:
Strong organizational and multitasking skills with ability to manage a busy office, exercise judgement, and work with minimal supervision.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google workspace.
Basic understanding of accounting principles and experience with accounting software (QuickBooks).
Prior experience with HR functions.
Clear and professional communication skills, both written and verbal, with a customer-service mindset when interacting with the public, vendors and employees.
Ability to handle sensitive information with a high degree of confidentiality and discretion.
Must be flexible, self-motivated, and willing to support other staff members as needed.
