This position reports to the SVP, Operations & Guest Experience, leading the Event Operations department supporting all Commanders Events including Northwest Stadium, Big Bear Ai. Performance Center and support of organizational events and activations across the DMV

This position reports to the SVP, Operations & Guest Experience, leading the Event Operations department supporting all Commanders Events including Northwest Stadium, Big Bear Ai. Performance Center and support of organizational events and activations across the DMV
- Serve as the lead contact and liaison during the planning and execution of assigned major events, including but not limited to internal communication, budgets, vendor and supplier relationships, site visits.
- Work closely with Stadium Booking & Entertainment and ticketing to ensure show builds and major events builds and on sales are appropriately orchestrated for successful event execution
- Work with client(s) to understand their needs and requirements, collaborating with internal staff and external partners, vendors and support services to develop detailed event plans, event outlines, maps and diagrams, ensuring all code requirements and permitting is appropriately executed
- Work with Stadium Operations staff to prep each space with proper equipment and consistent cleanliness in preparation for events.
- Oversee venue operations and logistics for all NFL broadcast networks for all home Commanders Games
- Finalize and coordinate broadcast compound preparation, catering, credentialing, camera placement, parking, etc.
- Manage and distribute Stadium Daily Operating Calendar. Host weekly calendar and event meetings providing timely information to all Departments. Maintain organizational events calendar hosted on Venue Ops Calendar Management system.
- Oversee event specifics with all departments and vendors, communicating the client’s objectives and event details regarding schedules, staffing, equipment rentals etc. including Conversions, Housekeeping, Engineering, Food Service, Security, Medical, Production, IT, Parking, Public Safety, Ticketing, etc.
- Schedule and lead pre-event meetings for assigned major events to include all pertinent internal departments and external partners
- Schedule and/or assist with after action meetings post event and event recap documentation. Maintain complete major event files including contracts, budgets, event set-up and all event communications
- Coordinate with event planners and stadium booking department to understand event requirements for move-in/event/move-out to ensuring the appropriate days/times are allocated on the stadium calendar. Ensure all contractual terms with outside Promoters is executed at a high level.
- Prepare and assist with the preparation of all event related estimates and final settlements with the finance and booking department
- Ensure the event elements of the contract are accurately executed and the equipment, physical set-up and personnel provided meet the requirements of the event, including the load-in and load-out of events as well as the arrival and departure of equipment and staging for the events
- Provide leadership and support for events such as community based or internal events as needed
- Lead and develop team of event manager(s) and coordinators. Create and maintain inclusive department that supports the growth and development of all members of the team.
- Identify operational challenges associated with his/her group and determines how to best work with stadium departments and the client to solve these challenges and/or develop alternative solutions
- Participates in client site inspections and walk throughs, assists with the sales process as necessary
- Establish and maintain relationships with clients, vendors, contractors and all key internal and external key stakeholders
- Assist with the preparation and filing of post event notes including staffing matrix’s, attendance, department reports, cost estimates and settlements, statistics and other event related data to provide insight into future event operations
- Performs other duties as assigned to meet stadium, event, department and business needs
- 5-7 years of progressive responsibility in Stadium, Arena, Multi Use Facility and/or Major Event coordination/management of large-scale events
- Bachelor’s degree required, preferably in Facility Management, Event Management or Sports and Entertainment
- Strong management, organizational, communication and leadership skills.
- Ability to multitask and work on many events and projects concurrently
- Proficient in Microsoft office applications and word processing, spreadsheets, database and PowerPoint
- Ability to understand AutoCAD/ DWGs drawing in AutoCad.
- Usage of AutoCad and Social Tables encouraged, usage of Adobe and Photoshop preferred
- Excellent interpersonal, verbal and written communication skills, ability to communicate effectively at all levels both internally and externally
- Able to simultaneously manage a high level of detail across multiple projects, multi task and work in collaborative environment.
- Able to demonstrate flexibility and quickly adapt to changes while maintaining high levels of productivity and effectiveness under pressure
- Able to work well within a team environment offering leadership and support to team members whenever necessary
- Able to balance internal priorities with client expectations
- Able to work late nights, early mornings, weekends and holidays
- Able to work indoors and outdoors

Salary : $115,000 - $125,000
