Warshafsky seeks a highly organized, proactive, and people-focused individual to serve as our Office and Intake Manager. This individual will oversee daily operations, manage our employees, and ensure timely and accurate progress of files. The individual will also manage the firm’s intake of potential clients and overseeing our intake process. This position requires strong leadership skills, attention to detail, and the ability to keep a busy office running smoothly.
Key Responsibilities
Office Management
- Oversee day-to-day office operations, ensuring efficiency and productivity
- Supervise administrative staff and support attorneys as needed
- Manage office budget, supplies, vendor relationships, and facilities
- Manage recruitment, onboarding, and training of new employees
- Maintain personnel records and ensure compliance with employment laws and firm policies
- Work with firm leadership to ensure proper policies and procedures are in place for all staff
- Handle employee relations, performance reviews, and HR-related problem-solving
Intake Management
- Evaluate and respond to completed website chats and form submissions
- Relay potential clients to the proper person within the firm
- Follow up with potential clients and internally to evaluate status of leads
- Oversee the client intake process from initial contact to case assignment
- Monitor and improve intake procedures to maximize client satisfaction and conversion rates
Preferred Background
- Highly qualified candidates will have previously served in an office management capacity at a law firm
- Experience supervising staff and managing workflows in a busy law firm
- Experience with HR functions, including hiring, onboarding, and training
- Familiarity with personal injury law and legal intake processes
- Experience with Bamboo HR
Required Background
- Strong leadership and team management skills
- Excellent communication, interpersonal, and problem-solving abilities
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with office software and case management systems (firm uses CloudLex)
- Must demonstrate empathy and understanding for contacts and clients
