The Project Administrator is responsible for supporting the daily functions of Project Teams by providing project management administrative/accounting assistance. The Project Administrator will work closely with Project Managers and Operations managers to provide project related administrative tasks from project award to completion.
Your Role
- Assist Project Managers with project accounting tasks
- Processing and data entry in Deltek Vision/Vantagepoint accounting software
- Assist with billing, opening new projects and creating budget reports
- Processing consultant invoices in the EleVia software
- Email and phone communication with consultants regarding billing and revisions needed
- Act as a liaison for the project team with the Accounting team
- Additional duties and miscellaneous projects
- Coordinate with project team to initiate plan check process and obtain submittal requirements
- Prepare city submittal forms, setup appointments with city officials
- Assist with stamping or sealing drawings for the state or city
- Preparing meeting minutes, punch lists, submittal log, etc.
- Coordinate job site visits with client, building manager
Qualifications
- 1-2 years minimum experience working in architectural, interior design or related fields.
- Must have experience with Microsoft Office applications; experience with Deltek Vision/Vantagepoint software a plus.
- Excellent communication skills, written and verbal, are essential.
- Ability to handle multiple tasks at one time
- Detail-oriented individual who emphasizes accuracy is essential
- Well-organized and thorough are essential traits of the individual
- Experience with billing, and completing payment applications is a plus
