Responsibilities
Clinic Operations
- Oversee day-to-day hospital operations, ensuring efficient patient flow for appointments, surgery, and urgent care.
- Manage scheduling, client communication, and coordination between front desk, technician staff, and the veterinarian.
- Monitor inventory, place orders, maintain stock levels, and oversee controlled workflows for supplies.
- Ensure the clinic remains clean, organized, and compliant with safety and medical standards.
Leadership & Staff Management
- Supervise front desk and technician teams with clear expectations and consistent accountability.
- Train, coach, and support staff to maintain high standards for efficiency, accuracy, and client service.
- Assist with staff scheduling, communication, and HR-related administrative tasks.
Client Service & Communication
- Provide exceptional customer service and handle escalated client concerns professionally.
- Ensure accurate medical recordkeeping, appointment notes, and follow-up communications.
Administrative & Financial Support
- Assist with invoicing, daily reconciliations, deposits, and report generation.
- Maintain organized administrative files, compliance documents, and hospital policies.
- Support budgeting, performance tracking, and operational improvements.
Software & Systems
- Use veterinary practice management software (EzyVet or similar).
- Manage digital scheduling, reminders, client messaging, online reviews, and marketing updates.
Qualifications
- Veterinary or medical administration experience strongly preferred.
- Proven leadership and ability to manage staff efficiently and professionally.
- Strong communication, problem-solving, and conflict-resolution skills.
- Highly organized with excellent follow-through and attention to detail.
- Able to multitask in a fast-paced clinical environment.
- Proficient with computer systems and scheduling software.
- Able to lift 40 lbs and assist with animal handling when needed.
