Position Summary
The Human Resources Assistant provides administrative and clerical support to the Human Resources department, assisting the HR Manager and HR Generalist with day‑to‑day HR operations. This role is largely administrative, focused on maintaining employee records, supporting onboarding and offboarding processes, assisting with benefits and leave administration, and helping ensure compliance with company policies and employment regulations within a manufacturing environment.
The HR Assistant serves as a first point of contact for routine employee questions and plays a key role in keeping HR processes organized, accurate, and timely.
Key Responsibilities
HR Administration & Records
- Maintain accurate and confidential employee personnel files (electronic and paper)
- Enter and update employee data in HRIS/payroll systems (new hires, job changes, terminations)
- Track employee statuses, job changes, and documentation requirements
- Assist with audits, reporting, and HR documentation requests
- Ensure compliance with document retention requirements
Onboarding & Offboarding Support
- Coordinate onboarding activities, including new hire paperwork, orientation scheduling, badges, and system access
- Prepare offer packets and employment forms as directed by HR Manager/Generalist
- Assist with offboarding processes, including exit paperwork, and system updates
Benefits & Leave Administration Support
- Assist employees with basic questions regarding benefits, policies, and leave processes
- Support benefits enrollment activities, status changes, and documentation tracking
- Track leaves of absence (FMLA, FAMLI, workers’ compensation, personal leaves) and maintain related records
Recruitment & Staffing Support
- Post job openings to internal and external job boards
- Coordinate interview scheduling between candidates and hiring managers
- Assist with drug screens, and pre‑employment requirements
- Track recruiting activity and hiring metrics
Employee Support & Communication
- Serve as a friendly, professional first point of contact for employee HR inquiries
- Direct employees to appropriate HR resources for non‑routine issues
- Assist with employee communications, announcements, and postings
- Support employee engagement activities and HR initiatives as needed
Compliance & Manufacturing Support
- Assist with compliance documentation related to federal, state, and local employment laws
- Help track required trainings and certifications for plant employees
- Maintain confidentiality of sensitive employee and company information
General Support
- Provide administrative support to HR Manager and HR Generalist
- Assist with special HR projects and process improvements
- Perform other HR‑related duties as assigned
Required Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 1–3 years of administrative, HR, or office support experience preferred
- Strong organizational skills with attention to detail and accuracy
- Ability to handle confidential information with discretion
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Comfortable working in a fast‑paced manufacturing environment
- Strong interpersonal and customer‑service orientation
- Ability to communicate in English and Spanish
Preferred Qualifications
- Prior experience in a manufacturing, industrial, or plant environment
- Familiarity with HRIS and payroll systems
- Basic knowledge of HR policies, employment law, or benefits administration
Work Environment
- Combination of office and manufacturing floor environment
- May require walking the plant floor and interacting with hourly employees
- Occasional overtime may be required during peak periods (open enrollment, audits, hiring surges)
Physical Demands
- Ability to sit, stand, and walk for extended periods
- Ability to lift and carry up to 20 pounds occasionally
- Ability to use office equipment and computer systems throughout the workday
Salary Range: $23/hr - $28/hr, depending on experience
Reporting: This position has no direct reports, and reports to the Human Resources Manager.
