Hourly pay range minimum is $24.45; pay based upon experience; will work 7.5 hours daily, normally work 226 days annually
Primary Purpose: Provide support for daily human resource operations. Handle routine HR inquiries and provide responsive and knowledgeable assistance to employees.
Qualifications:
Education:
High school diploma or GEDSpecial Knowledge/Skills:
- Strong organizational skills
- Proficiency in keyboarding and file maintenance
- Ability to use software to develop spreadsheets, databases, and do word processing
- Ability to perform basic math
- Ability to read, speak, and understand English and Spanish Effective communication and interpersonal skills
Experience:
- Three years’ secretarial experience, preferably in school or corporate Personnel Office environment
Major Responsibilities and Duties
HR Support
- Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate.
- Maintain the HR information database to ensure that employee information is accurate, current, and reliable.
- Receive and process applications, including verifying completeness of files and notifying those not selected for employment.
- Process new hire, volunteer, substitute, contractor, and student teacher paperwork including criminal history information, references, and other application materials for assigned staff.
- Receive, process, and maintain files and records for all substitutes of the district.
- Communicate effectively and timely with campus and department staff members regarding all substitute absences.
- Provide training to new substitutes and serve as the point of contact for all district questions regarding substitute processing.
- Reconcile substitute absences in both Skyward and Aesop/Frontline systems.
- Assist in preparing for substitute meetings, to include process substitute paperwork, coordinating with presenters, equipment set-up, etc.
- Work with campus administrators and monitor long term sub assignments when parent notification is required.
- Prepare and submit information required for processing substitute employee payroll.
Reports and Correspondence
- Prepare and distribute or post job vacancy announcements and advertisements.
- Greet visitors and assist employees and applicants in a positive, timely manner.
- Answer and respond to incoming calls, take reliable messages and route to appropriate staff in a timely manner.
- Check HR voicemail, email, and mailroom mail daily and respond to customers as quickly as possible.
- Respond to all HR correspondence (e.g. email, memorandums, letters) in a positive and timely manner.
Other
- Manage personnel files and service records for present and past employees, including records requests from other districts, receiving and routing of changes.
- Manage the records storage and destruction process for HR records following established records retention schedule and requirements.
- Assist in the preparation and organization of the New Hire Orientation for new employees held every year prior to the start of school.
- Responsible for the badge system, to include ensuring badges are given to new employees and replaced as current employees need new badges.
- Respond to requests for verification of employment in a timely manner.
- Assist with job fairs as needed.
- Maintain confidentiality of information.
- Assist, work cooperatively and cross-train whenever possible with other HR secretarial staff.
- Attend training as necessary to maintain updated knowledge of HR areas of responsibility.
- Assist in preparing purchase orders and direct pays for HR.
- Work collaboratively with peer HR Specialists in shared duties and cross-training as needed.
