About the Role
The Coordinator of Legal and Compliance ensures the company adheres to compliance processes, regulatory requirements, and internal procedures. This role involves reviewing documentation, monitoring insurance compliance, supporting loss prevention and case management efforts, and handling high volumes of compliance inquiries. The coordinator also mentors staff, assists with risk mitigation, conducts audits, prepares reports, and maintains accurate records. Additionally, they educate employees on legal requirements and stay updated on regulatory changes to ensure ongoing compliance.
KEY RESPONSIBILITIES:
- Adheres to the company’s compliance processes and related workflows as implemented in the Standard Operating Procedure
- Follows procedures related to compliance, including but not limited to, assessment of onboarding documents, review of certificates of insurance and corresponding endorsements, IRS and banking documentation, ensures appropriate follow-ups are conducted, regularly communicates status to the appropriate parties
- Aids in the company’s Loss Prevention investigations processes, incident responses, and related workflows as documented in the department’s standard operating procedure
- Assist with Case Management projects as assigned
- Participates in training and mentoring of staff assigned to support in legal and compliance matters
- Responsible for follow up compliance replies, including assemble supporting documentation, deficiencies, and requests for information
- Ensure and monitor compliance for vendors with multistate insurance coverage
- Comfortable processing high volume of inbound and outbound compliance support calls with excellent phone etiquette
- Monitor existing contractor partner database to ensure contractors are compliant with W Services insurance/contract requirements
- Process cancelation notices that come in VIA mail immediately in company database and reach out to the contractor partner/ insurance company for immediately resolution to avoid a lapse in coverage
- Develop and maintain professional rapport with all necessary parties; being mindful of our relationships (i.e., corporate client, contractor, vendor, store manager, etc.)
- Update all mandatory sections of the company database in a timely manner
- Responsible for escalating priority insurance concerns to senior manager and/or the appropriate unit
- Help implement policies, systems, or controls to reduce risk
- Use routine audits to identify potential compliance risks
- Prep reports and updates for weekly meeting with management
- Participate in monthly department meetings
- Monitor business processes
- Educate employees about regulatory and legal requirements
- Stay up to date with regulatory changes
ADDITIONAL RESPONSIBILITIES
- Special projects will be given on occasion by management
KNOWLEDGE AND SKILL REQUIREMENTS
- Experience with MS Word, Excel & Outlook
- Must be a team player and have a positive demeanor (enthusiastic)

- Able to work under a demanding and busy work environment
