Vyne is a fast-growing software company with a presence across the US. This role will be based in our Lindon, Utah office. This is not a traditional admin role. The Director of Executive Administration serves as a highly trusted partner to our CEO, COO, and CFO. You will operate with a high degree of autonomy, anticipate needs before they arise, and help our executive team focus on the work that matters most. You will also lead and develop our administrative team.
The ideal candidate has direct experience in dental tech, dental practice management, or B2B SaaS—and understands how companies in this space operate. Being local to the Lindon/Utah County area is essential; this role requires a meaningful in-person hybrid presence.

What You’ll Do
Executive Partnership & CEO Support
- Serve as the primary partner to the CEO, COO, and CFO—providing seamless, proactive, day-to-day support
- Anticipate executive needs and proactively address issues before they escalate
- Maintain a deep understanding of business priorities, leadership dynamics, and organizational context
- Act as a trusted gatekeeper and strategic liaison between executives and internal/external stakeholders
- Own the CEO’s calendar end-to-end: scheduling, prioritization, meeting prep, briefings, and follow-ups
- Balance complex, multi-executive calendars against short-term demands and long-term priorities
- Prepare executives for high-stakes meetings with agendas, pre-reads, talking points, and decision summaries
- Draft, edit, and manage executive-level communications including memos, presentations, and board materials
- Track decisions, action items, and commitments from executive and leadership meetings—and close every loop
- Coordinate executive meetings, leadership offsites, quarterly reviews, and board-related activities
- Partner with HR, Finance, Operations, and other teams to ensure executive initiatives move forward
- Act as project manager for high-priority executive initiatives: timelines, stakeholders, milestones, and outcomes
- Support board deck preparation, briefing materials, and post-meeting follow-ups
- Lead, mentor, and develop the administrative team (Executive Admin and Administrative Assistant)
- Delegate effectively to ensure appropriate coverage and role clarity
- Establish and continuously improve administrative processes, standards, and best practices
- Ensure consistent quality and continuity of executive support across the organization
- Handle highly sensitive and confidential information with discretion and sound judgment
- Apply business acumen to assess urgency, prioritize effectively, and make decisions on behalf of executives
- Identify opportunities to streamline executive workflows and improve organizational efficiency
Who We’re Looking For
- 5 years in a senior-level executive support role, including direct CEO support
- Background in dental technology, dental practice management, SaaS, or healthcare tech strongly preferred
- Proven experience supporting multiple C-suite executives simultaneously in a fast-paced, high-growth environment
- Demonstrated experience leading, coaching, or mentoring other administrative professionals
- Local to the Lindon/Utah County area or able to reliably commute
- Exceptional organizational and prioritization skills—you manage complexity without losing the details
- Advanced written and verbal communication skills with executive-level presence
- High emotional intelligence, discretion, and sound judgment in sensitive situations
- Strong proficiency with productivity and collaboration tools (Google Workspace, Slack, project management platforms)
- Comfort operating in a fast-moving, product-driven company where priorities shift quickly
- Based in Lindon, Utah—on-site presence required Monday through Thursday
- Occasional after-hours availability for executive meetings, events, or time-sensitive projects
- Occasional travel as needed
