We're building out our administrative foundation as we grow, and we need the right person to help keep the day-to-day running smoothly.
The Role
This is an Administrative Manager role — the person who keeps the office organized, the records straight, the invoices moving, and the daily details from slipping through the cracks. You'll also help with some day-to-day coordination (scheduling, basic client & Security personnel communication) as needed, but the core of the job is administrative.
You'll work closely with our small, hands-on team where everyone pitches in.
What You'll Own
- General office administration — records, filings, correspondence, compliance tracking (licenses, permits, renewals)
- Billing support — preparing invoices and vendor bills from templates in Zoho Books
- Scheduling assistance — helping coordinate appointments, calendars, bookings (hotel, vehicle)
- Vendor and document management
- Light client communication support as needed
- Keeping our internal systems organized
What We're Looking For
- 2 years in administrative, office support, or assistant-type roles
- Organized, detail-oriented, reliable
- Solid written and spoken English
- Comfortable with AI agents, AI systems (Claude, ChatGPT, Perplexity, etc.) is a must
- Familiarity with Zoho, QuickBooks, or similar is a plus — happy to train
- Bilingual English/Russian, English/Ukrainian or English/Spanish is a plus
- Candidates must be authorized to work in the U.S. without current or future visa sponsorship.
- Must be able to pass a Background check, if applicable.
