Role Summary
This is a full-time, hybrid position located at the Nova Southeastern University campus. This role combines high-level executive support, operational coordination, and project management, ensuring that leadership priorities are executed efficiently and organizational initiatives remain on schedule. The successful candidate will act as a key liaison between executives, research teams, clinical partners, and operational departments.
Key Responsibilities
Executive Team Support
· Provide comprehensive administrative and operational support to the executive leadership team.
· Manage executive calendars, meeting coordination, travel arrangements, and scheduling of meetings.
· Prepare executive reports and meeting agendas for leadership discussions and strategic reviews.
· Track executive action items and follow up with internal teams to ensure timely completion of deliverables.
· Coordinate leadership engagement with partners, collaborators, investors, and institutional stakeholders.
Project Management
· Coordinate and track multiple organizational projects, ensuring alignment with company goals and timelines.
· Develop and maintain project plans, timelines, milestones, and resource allocations.
· Monitor project progress and proactively identify risks, delays, or operational bottlenecks.
· Facilitate cross-department collaboration between research, clinical, regulatory, and administrative teams.
· Organize project status meetings, maintain meeting documentation, and communicate updates to leadership.
· Assist with budgeting, expense tracking, and resource planning for projects and initiatives.
Qualifications
· Bachelor’s degree in Business Administration or equivalent (preference)
· Minimum of 5 years of experience in project management, executive support, operations, or administrative leadership roles.
· Experience supporting executive teams in fast-paced, high-growth organizations.
· Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
· Excellent written and verbal communication skills with the ability to interact professionally with senior leadership and external stakeholders.
· Ability to manage multiple priorities and deadlines simultaneously in a dynamic environment.
· High level of discretion when handling confidential information.
Salary : $75,000 - $85,000
