General Purpose/Summary of Job:

The Executive Assistant provides comprehensive administrative and operational support to the Executive Vice President, Head of Retail, and the Retail Leasing team. This role ensures the efficient management of daily operations, communications, scheduling, and coordination of leasing activities across Vornado’s high-profile retail portfolio. The position requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities:
- Provide high-level administrative support including complex calendar management, high call volume, travel coordination, and meeting scheduling.
- Prepare correspondence, presentations, and reports for internal and external audiences.
- Manage incoming communications; prioritize and respond on behalf of the EVP as appropriate.
- Coordinate leasing materials, proposals, and term sheets with internal and external stakeholders.
- Maintain departmental trackers, reports, and filing systems.
- Support team coordination between Leasing, Legal, Construction, and Property Management.
- Process expense reports, invoices, and departmental budgets.
- Organize and maintain electronic and physical filing systems.
- Assist with special projects, events, and marketing initiatives related to retail leasing.
- Represent the Retail Leasing department with professionalism in all interactions.
- Plan, coordinate and execute 1-3 events per year (30-200 attendees)
- Cultivate and nurture existing business relationships internally and externally
- Occasional travel
Qualifications:
- Bachelor’s degree preferred.
- 5–8 years of experience supporting senior executives, ideally within commercial real estate, financial services, or corporate environments.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Excellent attention to detail and organizational skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional demeanor, with flexibility to handle shifting priorities.
- Proactive and resourceful approach to problem-solving.
- Strong interpersonal and relationship management skills.
- Ability to anticipate needs and operate with discretion.
The starting base salary for this New York position is expected to be between $110,000 to $135,000 annually. Actual salary will be determined based on skills, experience (to the extent relevant) and other job-related factors, consistent with applicable law
