Volume Millwork is a Houston-based millwork manufacturer specializing in aviation and airport casework TSA checkpoints, gate areas, and terminal interiors. We work on some of the most demanding commercial build-outs in the country, and we're growing fast. We're looking for a sharp, organized Office Manager to keep our operations tight and our team supported.
The Role
This is a hands-on position where you'll own the day-to-day office and accounting functions for a busy manufacturing company. You'll work directly with leadership and have real visibility into the business.
What You'll Do
- Manage daily office operations — vendor coordination, scheduling, supply management, and team support
- Handle bookkeeping in QuickBooks — invoicing, AP/AR, bank reconciliation, and expense tracking
- Support job costing and bid tracking alongside project managers
- Use AI tools (Claude by Anthropic) to draft communications, build SOPs, summarize documents, and improve office workflows
- Coordinate HR paperwork, onboarding, and employee recordkeeping
What We're Looking For
- 3 years of office management or administrative experience — construction, manufacturing, or trades industry strongly preferred
- Proficiency in QuickBooks (Desktop or Online)
- Hands-on experience using Claude or similar AI tools for real work tasks — writing, documentation, research, or process building
- Strong Excel skills; comfortable with Word, Google Workspace, and project tools
- Self-directed, highly organized, and able to handle competing priorities in a fast-moving environment
