Office Manager
SpaceManager Closets is searching for an Office Maanger. This role is responsible for supporting the accounting and administrative operations of two growing businesses, with primary responsibility for accounts payable, accounts receivable, payroll coordination, process documentation, and general administrative support. The ideal candidate is tech-forward, highly organized, process-driven, and eager to use modern software and AI tools to improve efficiency and accuracy.
Core Responsibilities
- Manage day-to-day accounts payable, accounts receivable, and payroll activities for 2 growing businesses, ensuring transactions are accurate, timely, and properly documented.
- Process vendor bills, customer invoices, payment applications, collections follow-up, employee payroll inputs, reimbursements, and related recordkeeping across both companies.
- Maintain organized financial and administrative records, reconcile routine transactions, and help ensure clean, reliable data for leadership review and decision-making.
- Support recruiting activities for managers
- Provide general administrative and operational support across both businesses, helping keep key back-office processes moving efficiently and on schedule.
- Serve as a dependable internal support resource for managers and team members on finance, administrative, and process-related matters.
- Identify inefficiencies in current workflows and help improve them through better tools, clearer steps, and stronger process discipline.
- Document repeatable workflows and standard operating procedures so critical tasks are performed consistently and can be easily trained, delegated, and scaled.
- Be highly comfortable with technology and quick to adopt new systems, including AI tools, automation tools, and software that improve speed, accuracy, and organization.
- Use AI and digital tools to streamline recurring tasks, improve communication, support reporting, and reduce manual administrative work where practical.
- Help maintain internal controls by ensuring approvals, supporting documentation, and process steps are followed consistently.
- Support special projects, reporting requests, clean-up efforts, and other administrative or operational priorities as assigned.
