Voit Management is currently in search of an outstanding Customer Service Administrator. This position will offer the right candidate a wide variety of duties in a busy work environment, while gaining experience in the Homeowners Association industry.
Summary: The responsibility of the Associate is to serve as the initial point of contact for residents seeking services, resources and/or information. The Associate directly reports to the Office Manager.
Hours: Monday- Friday 8:00am-5:00pm, Lunch 1:00pm-2:00pm
Essential Job Duties and Responsibilities:
- Multi-line telephone coverage, response to customer resource requests and the performance of administrative duties at the request of the Office Manager.
- Provide courteous customer service to all walk-in homeowners by attending promptly to their request and ensuring the appropriate staff members are advised if they are needed to handle a homeowner issue.
- Log all communication in appropriate software.
- Scan and file to digital filing folders.
- Return all initial resident customer service calls and emails within a 24-hour period.
- Process clubhouse rental applications and architectural applications.
- Responsible for the distribution of keys/transponders/fobs or other devices used by residents to access the community facilities.
- Accept all homeowner payments received.
- Maintain a clean work environment and ensuring cleanliness in the office.
- Shall perform miscellaneous office/kitchen clean up to ensure a clean and orderly appearance.
- Assist with the preparation and conduct of Association sponsored social or special events.
- Assisting homeowners with the rental process, answering questions. and collecting the appropriate fees.
- Submit a monthly order and maintain all office supplies and food orders
- Any additional job duties and/or admin projects as required by supervisor.
Qualification Requirements:
- Maintain reliable transportation
- Ability to work under tight deadlines and fast paced environment with a high level of accuracy.
- Demonstrate problem solving abilities and strong work ethic.
- Must be proficient with computer programs, including Word, Outlook and Excel.
- Demonstrate organizational skills and ability to independently prioritize daily workload.
- Must work effectively with colleagues and clients.
Education and/or Experience:
- 1-2 years of experience working in a Customer Service role recommended.
- High School Diploma required.
Language Skills:
- Excellent interpersonal skills.
- Strong verbal and written communication.
- Proficient in English.
