Job Overview
We are seeking an energetic and detail-oriented Automotive Office Assistant to join our team. In this vital role, you will manage administrative tasks with precision and support the smooth operation of our dealership office. Duties
- Greet clients, visitors, and vendors with professionalism and warmth at the front desk
- Manage multi-line phone systems, directing calls efficiently and courteously
- Perform data entry and maintain accurate records using Dealertrack DMS and Google Workspace
- Take payments, count and close out cash and prepare bank deposits
- Close service and body shop RO's
- Finalize vehicle sale paperwork, vehicle registration and loan/lease paperwork, making journal entries accordingly
- Document financial transaction details and monitor transactions
- Manage new and used vehicle inventory and prepare paperwork for dealer trades
- Assist with filing, document proofreading, and organizing office supplies to ensure a tidy workspace
- Support customer service efforts by addressing inquiries promptly and providing exceptional support
- Conduct basic bookkeeping tasks including invoicing, billing, and tracking payments
- Manage office correspondence through email and phone communication while maintaining proper phone etiquette
- Support office management activities such as inventory tracking, supply ordering, and maintaining confidentiality of sensitive information
Qualifications
- Proven experience in office administration or clerical roles within an automotive or related environment preferred
- Strong computer skills
- Excellent organizational skills with the ability to multitask effectively
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Knowledge of office management practices including bookkeeping, record keeping, accounting entries and general administrative procedures
- Ability to handle confidential information discreetly and maintain high levels of accuracy in all tasks

Pay: $17.00 - $24.00 per hour
