Summary/Objective
The Grant Accounting Clerk provides professional accounting and administrative support to the Senior Administrator of Revenue & Grants. This includes preparing, reviewing, and processing grant reimbursement requests. This position compiles complete reimbursement packets, reviews supporting documentation for accuracy and allowability, and ensures expenses align with applicable federal regulations, including Uniform Guidance (2 CFR 200). The role maintains accurate financial tracking and supports internal controls to ensure timely and compliant revenue processing.
Essential Functions
This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the organization..
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptops, photocopiers, and smartphones.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and the ability to adjust focus. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
Position Type/Expected Hours of Work
This is a full-time, exempt position. Work hours are generally Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening or weekend work may be required to meet reporting deadlines or high-volume reimbursement periods.

No travel is required for this position.

Essential Functions
- Prepare and compile grant reimbursement packets in accordance with funding requirements.
- Review supporting documentation for completeness, accuracy, and compliance with Uniform
- Reconcile reimbursement requests to approved grant budgets and internal financial records.
- Maintain organized electronic grant files and financial tracking tools.
- Maintain and reconcile travel and mileage logs for grant reimbursement and audit purposes.
- Assist with audit preparation and execution.
- Enter, review, and reconcile financial data within organizational accounting systems.
- Analyze general ledger reports and credit card transactions for grant-related expenses to ensure
- Review and process client financial requests and grant-related invoices.
- Support adherence to established internal controls and financial procedures.
- Maintain confidentiality of financial and organizational information.
- Other duties as assigned.
- Organized and efficient support in compiling and processing financial and reimbursement documentation.
- Critical thinking to identify discrepancies and complete responsibilities with limited supervision.
- Ensures accuracy and completeness of financial documentation and data.
- Maintains well-organized electronic files and tracking systems to support timely reimbursement processing.
- Prioritizes tasks effectively to meet deadlines and reporting timelines.
- Proficiency in Microsoft Office, particularly Excel, and financial management systems.
- Communicates clearly and professionally when gathering or clarifying financial information.
- Maintains discretion when handling sensitive financial and organizational information.

Required Education, Experience, Or Eligibility Qualifications
- High school diploma or equivalent and four (4) years of accounting, bookkeeping, or clerical experience in a professional office environment.
- Experience working with financial documentation and data entry with strong attention to accuracy.
- Associate’s degree in Accounting or related field.
- Experience with grants, nonprofit accounting, or federal funding.
- Experience using accounting or financial management systems.
