Position Summary
:

Responsible for processing, maintenance and security of medical records


Principal Responsibilities:

  • Supports organization’s mission by striving for excellence in all aspects of their job with a focus on positive interpersonal relationship with co-workers

  • Conduct timely and persistent follow-up with physician offices, providers, and clinical staff to obtain signed orders in accordance with organizational billing and compliance requirements.

  • Monitor and prioritize outstanding orders to ensure signatures are secured within required timeframes, minimizing delays in claim submission and reimbursement.

  • Review patient charts and clinical documentation to identify alternate authorized providers when the ordering physician is unavailable, unwilling, or unable to sign required orders.

  • Demonstrate a thorough understanding of order types that require physician signatures and ensure documentation meets regulatory, payer, and organizational standards.

  • Investigate, analyze, and resolve order discrepancies, including missing signatures, incorrect provider information, missing dates, incomplete documentation, and other issues that may impact billing or compliance.

  • Manage multiple priorities simultaneously, balancing high-volume order follow-up, claim deadlines, payer-specific requirements, and urgent requests while maintaining accuracy and productivity.

  • Collaborate with clinical teams, intake, billing, and physician offices to resolve barriers and facilitate timely completion of orders.

  • Effectively document follow-up efforts, communications, and resolution activities within designated tracking systems.

  • Utilize critical thinking and problem-solving skills to identify and address challenges related to missing or incomplete documentation.

  • Maintain compliance with all organizational policies, Medicare and payer regulations, and documentation standards related to physician orders and medical records.


Required Skills and Qualifications:

  • High school diploma required

  • 2-3 years of work related experience

  • Strong organizational skills with the ability to manage multiple tasks, competing priorities, and strict deadlines in a fast-paced environment.

  • Excellent communication and relationship-building skills when interacting with physician offices, providers, and interdisciplinary teams.

  • Demonstrated ability to identify, investigate, and resolve documentation discrepancies that could impact claim processing and reimbursement.

  • Detail-oriented with strong analytical and problem-solving abilities.

  • Ability to work independently while maintaining a high level of accuracy, accountability, and follow-through.

Working Conditions/Physical Demand
: Business Office Environment with phone and computer use

In compliance with New Jersey's Pay Transparency Act, the compensation range for this position is USD $16.00 to USD $24.00. When determining an offer, VNA Health Group considers factors such as the scope and responsibilities of the role, the candidate's work experience, education/training, relevant skills, internal pay equity, and market and organizational conditions.
