Position Details:

  • Type: Direct hire, full-time, onsite
  • Schedule: Monday-Friday, 8 AM – 5 PM
  • Location: Glens Falls, New York
  • Compensation: $65,000 to 80,000, depending on experience
  • Category: Salaried- exempt

Position Overview:

The Office Operations Manager at VMJR Companies ensures efficient daily operations by coordinating the administrative team with other departments including estimating and project managers to execute project functions. This position is responsible for ensuring project-related documents are completed on time, coordinating the communication and operation between internal and external partners, and directing the administrative team to support construction operations. This position will also help plan events and develop company markets to develop new business and convey the VMJR brand.

This position reports directly to the VP of Finance/CFO.

Success in this role requires exceptional attention to detail, strong organization skills, and the ability to multitask in a fast-paced construction environment. The ideal candidate is proactive, highly efficient, and committed to accuracy, professionalism, and operational excellence.

Essential Responsibilities:

  • Coordinates the operations, scheduling, communication, and documentation between the administrative office and the construction operations (estimation and project management) to ensure project related documents (subcontracts, purchase orders, change orders, amendments and proposals) are reviewed, addressed, and processed.
  • Maintain organization of office operations and procedures, including directing administrative staff priorities; weekly meetings with project office staff and daily review of ongoing priorities with staff.
  • Assist with the preparation, tracking and distribution of contracts, submittals, RFIs, subcontractor insurances and prerequisites, and other project-related documents. Maintain the vendor system.
  • Creating and maintaining social media outlets, VMJR’s seasonal newsletter, and other marketing efforts to improve brand awareness and business development.
  • Oversee and direct administrative office and personnel activities, including recruiting new hires, training, providing indoctrination to policies and procedures, and record management.
  • Develop, monitor and coordinate annual administrative budget and review with VP of Finance.
  • Order office supplies and equipment, schedule maintenance of office equipment, and maintain a clean and presentable office to support smooth operations.
  • Contribute to the continuous process improvement efforts of policy and procedures and suggest administrative enhancements that boost efficiency and accuracy.
  • Plan company events including company-wide and community events.
  • Other duties as assigned by management

Qualifications:

  • Two (2) year business degree plus minimum five (5) years of construction office management experience or equivalent combinations of training and experience.
  • Must be courteous, professional and diplomatic in dealing with external contacts.

  • Regularly required to sit for prolonged periods of time;
  • The employee must occasionally lift and/or move up to 20 pounds.

Pay: $65,000.00 - $80,000.00 per year
