About the Position
We are looking for an experienced and dependable Office, Sales & Operations Manager to manage daily office responsibilities while also helping with customer service, sales, restaurant accounts, order processing, shipping, and merchant services support.
This is not only a receptionist or basic office position. We need someone who understands how restaurants operate, can communicate confidently with restaurant owners and managers, and is comfortable helping generate new business.
The ideal candidate has experience as a restaurant manager, assistant manager, general manager, catering manager, foodservice sales representative, office manager, or in a similar leadership role.
Experience with POS systems, credit card processing, merchant services, foodservice sales, or business-to-business sales is strongly preferred but not required. We will train the right person on our products and services.
Main ResponsibilitiesOffice and Daily Operations
- Manage daily office activities and help keep the business organized
- Answer incoming calls and provide professional customer service
- Respond to customer questions about bakery products, hot sauce orders, POS systems, and merchant services
- Process customer orders received by phone, email, website, or through the sales team
- Prepare invoices, packing slips, shipping documents, customer forms, and other paperwork
- Maintain organized customer files, order records, applications, and office documents
- Handle data entry, filing, email correspondence, record keeping, and general administrative duties
- Maintain office supplies, shipping materials, product samples, labels, and inventory records
- Help organize daily priorities for the office, sales, shipping, support, and delivery teams
- Follow up with customers to make sure orders, applications, installations, and service requests are completed
Restaurant and Foodservice Sales
- Contact restaurants, cafés, diners, grocery stores, foodservice companies, and other potential customers
- Introduce Vlore Bakery products, Route 66 Hot Sauce, and HotBrandIt private-label sauce programs
- Follow up with customers who have received samples, pricing, proposals, or product information
- Build professional relationships with restaurant owners, chefs, managers, distributors, and foodservice buyers
- Help prepare sales proposals, price sheets, product information, and customer presentations
- Schedule customer meetings, product presentations, and follow-up calls
- Maintain accurate sales notes and customer follow-up activities
- Help grow existing accounts by introducing additional products and services
- Assist with local customer visits, restaurant meetings, sales presentations, and deliveries when needed
- Work toward individual and company sales goals
- Earn additional commission on qualified bakery, hot sauce, POS, and merchant service sales
POS and Merchant Services
- Speak with restaurant owners about POS systems, credit card processing, online ordering, websites, and restaurant technology
- Explain basic POS features, equipment options, payment processing programs, and available services
- Help customers complete merchant service applications and gather required business documents
- Assist with account setup paperwork, equipment orders, installation scheduling, and customer follow-up
- Follow up with new merchant prospects and existing customers
- Coordinate with our technical support, installation, and processing teams
- Help customers with basic questions regarding terminals, processing statements, deposits, equipment, applications, and account status
- Identify opportunities to offer customers additional products or services
- Maintain organized records for merchant applications, customer agreements, equipment, and follow-up activities
Order Processing, Shipping, and Inventory
- Coordinate shipments of hot sauce, bakery products, product samples, labels, POS equipment, and other materials
- Prepare products and packages for shipment
- Create shipping labels and schedule pickups with UPS, FedEx, freight carriers, and other delivery services
- Track shipments and provide delivery updates to customers
- Handle shipping problems, delayed packages, missing shipments, and customer questions
- Maintain accurate inventory records for products, office supplies, packaging, and shipping materials
- Receive incoming products and verify quantities
- Occasionally lift and move boxes or packages weighing up to 50 pounds
Required Experience and Qualifications
- Previous experience in the restaurant, hospitality, catering, or foodservice industry
- Restaurant management, assistant management, supervisory, or leadership experience is strongly preferred
- Some office, administrative, customer service, or business experience
- A basic understanding of restaurant operations and the needs of restaurant owners and managers
- Strong communication skills and a professional phone manner
- Comfortable speaking with customers, business owners, restaurant managers, and sales prospects
- Comfortable making sales calls, following up with prospects, presenting services, and asking for the business
- Organized, dependable, professional, and detail-oriented
- Able to manage several responsibilities and priorities during a busy workday
- Able to solve problems and follow customer requests through to completion
- Basic computer skills, including email, Microsoft Office, Google Workspace, and data entry
- Able to work independently while also supporting a small-business team
- Able to occasionally lift and move packages weighing up to 50 pounds
- Reliable transportation to work at our Rapids City office

Work Schedule
Monday through Friday
8:00 AM–5:00 PM
This is a full-time, in-office position at our Rapids City, Illinois location.
Occasional local customer visits, sales meetings, deliveries, installations, events, or special projects may be required.
