Responsibilities
- Greet visitors, clients, and vendors warmly, ensuring a professional and friendly first impression.
- Answer multi-line phone systems promptly, directing calls accurately and courteously.
- Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office.
- Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail.
- Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and data verification.
- Support office management by performing clerical tasks such as photocopying, faxing, filing, and inventory management.
- Assist with bookkeeping activities using QuickBooks or similar accounting software when needed.
- Provide customer support by addressing inquiries efficiently and professionally while maintaining excellent phone etiquette.
- Manage office supplies inventory and coordinate maintenance requests to ensure a well-functioning workspace.
- Support administrative duties such as proofing documents, managing personal assistant tasks, and assisting with special projects as required.
Experience
- Prior experience in office administration or reception roles is highly preferred.
- Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with multi-line phone systems and handling high-volume customer interactions is essential.
- Bilingual abilities are a plus to effectively communicate with diverse clients and visitors.
- Familiarity with clerical tasks such as filing, data entry, proofreading, and calendar management enhances your suitability for this role.
- Previous experience in medical or dental receptionist roles is advantageous but not mandatory.
