What are the responsibilities and job description for the Accounting Specialist position at Visium Resources, Inc.?
Introduction:
Visium Resources is seeking a Jr. Accounting Assistant who will assist our staffing agencies internal accounting team with a variety of different tasks. This role is onsite in Maitland, FL.
Hours: Mon-Fri 8:30 - 5:00 PM EST.
Responsibilities Include:
Weekly Tasks:
- Complete essential staff supplemental insurance certification.
- Save and collect timesheets for invoicing, renaming them accordingly for practice.
- Send timesheets every Wednesday via Adobe.
- Double-check new hire rates and information in the GML.
- Review the GML (payroll and hours spreadsheet) to verify: Holidays, Vacation/PTO, Expenses
- Assist in billing and invoicing on Thursdays and Fridays after payroll is completed.
- Enter Accounts Payable.
- Double-check payroll register for health insurance deductions, expense reimbursements, etc.
- Mail out checks to vendors.
Bi-Weekly or Monthly Tasks:
- Conduct SSN audits for new hires by verifying I-9 and E-Verify information.
- Check Florida unemployment weekly for new cases, complete the necessary documents, and file them accordingly.
- Order office supplies as needed each month (Staples, Office Depot, Amazon).
- Create and mail new hire welcome packets via Stamps.com.
- At the end of each month, follow up on insurance documentation for employees who have not responded or opted out, coordinating with our insurance broker.
Requirements:
- 1-3 years of experience
- Highly preferred Bilingual (English/Spanish)
- Experience with data entry and analysis tasks
- Detail oriented, team oriented, someone who takes initiative and can multi-task.
- QuickBooks experience preferred.
