About the Role
The Staff Accountant - Accounts Payable is responsible for managing accounts payable functions, providing accounting support to the accounting department, and delivering a high level of customer service to Visit Seattle Staff, vendors, and external stakeholders.
What You’ll Do
- Processes accounts payable invoices and expense reports with appropriate approvals, coding, and invoice entry accuracy. This includes following the Seattle Tourism Improvement Area (STIA) guidelines for those expenses.
- Ensures accounts payable and staff expense compliance with financial policy, travel expense policy, government regulations and IRS rules.
- Processes weekly check run.
- Maintains petty cash which includes reconciliations and coding of expenses.
- Coordinates new vendor setup, ensures that W9’s are received, maintains open and paid vendor files.
- Reconciles vendor statements and manages provides a high level of customer service to vendors including payment complaints or discrepancies
- Process staff credit card expenses.
- Provides high level of customer service to staff, vendors, and external stakeholders
- Assists in maintaining the company’s financial reporting system.
- Assists in providing audit documents and audit schedules.
- Ensures department controls are in place and comply with internal control requirements and financial policies.
- Maintains Accounting Department files, including accounts payable documentation and other miscellaneous filings.
- Uploads and codes documentation for wire transfers and obtains approval to be forwarded to the Accounting Manager for processing.
- Monitors accounting e-mail inbox and responds or forwards e-mails as appropriate.
- Prepares annual 1099’s to send to vendors.
- Performs other related duties, assignments, and special projects as required.
Qualifications
- Minimum 1 year of previous related experience required.
- Bachelor’s degree in business/accounting/related field preferred, or equivalent experience.
- Experience with Sage Intacct preferred.
- Experience with payroll system is preferred.
- Strong and willing interpersonal skills with people from different backgrounds.
- Highly motivated with a strong work ethic; detail organized, able to multi-task and consistently meet deadlines.
- Attentive to detail and accurate.
- Capable of typing, data entry and 10-key by touch.
- Friendly, approachable, cooperative, and willing to assist others.
- Very high proficiency in Microsoft applications, particularly Word, Excel, and Outlook.
- Must be able to speak, read, write, and understand the primary language, English, used in the workplace.
