Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
- Manage multi-line phone systems, screening calls and forwarding messages promptly
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, document proofreading, and ensure all paperwork is organized and up-to-date
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
- Assist with bookkeeping duties including invoice processing and basic bookkeeping using QuickBooks
- Provide excellent customer service by addressing inquiries via phone or email, ensuring positive interactions
- Maintain office supplies inventory and coordinate procurement as needed
- Support personal assistant tasks such as travel arrangements or special project coordination when required
Skills
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively
- Demonstrated experience with office management, clerical tasks, and administrative support
- Proficiency in QuickBooks for bookkeeping and financial record keeping
- Exceptional phone etiquette and experience managing multi-line phone systems
- Bilingual capabilities to communicate effectively with diverse populations (preferred)
- Proven customer service skills with a friendly and professional demeanor
- Ability to perform data entry accurately with high attention to detail
- Familiarity with medical or dental receptionist duties is a plus but not required
- Strong time management skills to handle multiple responsibilities efficiently
- Experience in office experience or administrative roles is highly valued
