We’re Hiring: Office Coordinator | Energy Developer (Based out of their downtown NYC office)
Our client is a growing distributed energy developer building utility-scale battery storage and solar projects across the U.S.—infrastructure that strengthens the grid and supports communities for decades to come.
We move fast, stay collaborative, and focus on turning ideas into real projects that get built. As we continue to scale, we’re looking for an Office Coordinator to help create and maintain a highly organized, welcoming, and efficient workplace at our New York City headquarters.
Role Overview
As Office Coordinator, you’ll own the day-to-day operations and workplace experience in their NYC office. You’ll be the go-to person for keeping the office running smoothly, organized, and fully stocked, while also supporting meetings, visitors, events, and team logistics.
This is a hands-on, in-office role (not remote) and is ideal for someone who likes to create structure, stay on top office needs and make it feel seamless and well-run.
What You’ll Do:
Office Operations & Workplace Experience
- Open and prepare the office each morning (coffee, kitchen setup, general readiness)
- Maintain cleanliness, organization, and presentation of shared spaces
- Restock snacks, beverages, groceries, and office supplies
- Coordinate with building management, cleaners, and vendors
- Ensure conference rooms and shared areas are always guest-ready
Mail, Deliveries & Admin Support
- Sort, scan, and distribute incoming mail and packages
- Manage outgoing shipments and courier requests
- Support printing, assembling, and organizing materials for project and planning needs
Meetings, Events & Team Support
- Help coordinate office events, team lunches, town halls, and gatherings
- Greet visitors, candidates, and guests in a professional, welcoming way
- Support onboarding setup for new hires (desk setup and office readiness)
What They are looking For
- 2 years of experience in office coordination, workplace operations, hospitality, or administrative support
- Strong organizational skills and attention to detail
- Proactive, dependable, and service-oriented mindset
- Comfortable in a fast-paced, evolving environment
- Strong communication and interpersonal skills
- Proficiency with Google Workspace and standard office tools
