What will the Maintenance Accounts Payable Assistant do?
The Maintenance Accounts Payable Assistant will be responsible for performing a variety of general administrative and data entry duties and developing improvements within the Maintenance department.
What is the Maintenance Accounts Payable Assistant responsible for?
- Receives invoices and transposes them to the Cetaris maintenance system.
- Research purchase orders, repair orders and repair history.
- Ensure invoices have been approved by appropriate manager prior to closing out.
- Work closely with Maintenance Department Customer Service Representatives and Maintenance Warranty Representatives, as well as Accounting, to ensure invoices are entered and paid on a timely basis
What knowledge, skills and abilities are required for the Maintenance Accounts Payable Assistant role?
- Two years’ experience in a front office position.
- Customer service telephone experience. Comfortable with making calls to vendors and in-house maintenance departments to gain information regarding repairs made.
- Proficient in Microsoft Office Suite. Strong Excel background is a must.
- Knowledge of Cetaris Web Fleet Assistant is a plus.
- Ability to maintain a high level of accuracy and completion in preparing and entering information.
- Attention to detail and possess a high level of accuracy.
- Must possess ability to be self-starter and ability to learn new systems.
- Comfortable working in a fast-paced environment and ability to stay calm under pressure.
- Strong interpersonal skills to develop and maintain positive relationships with dispatch team and auto haulers.
- Possess effective verbal and listening skills.
- Work may require more than 40 hours per week.

While performing the duties of this job, the employee is required to sit/stand for most of his/her job duties. There is the need to frequently walk. There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his/her job duties.
Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.
Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.
There is a moderate level of grasping, lifting, pushing and/or pulling of objects of less than 25 lbs.
