IT Program Operations Coordinator
Anticipated Salary Range: $60,000- $75,000
Salary Commensurate with Qualifications and Experience
The State Corporation Commission (SCC) seeks an IT Program Operations Coordinator for the Enterprise Technology Services (ETS) Division to serve as a central point of contact and coordinator of ETS programs and initiatives. Supporting the operational and strategic initiatives of the Office of the Chief Information Officer, this position coordinates daily operations, manages scheduling, and supports the tracking of ETS programs. The IT Program Operations Coordinator works a hybrid schedule, which is typically three days in the office and two days at home each week.
Essential Duties and Responsibilities
- Manage a comprehensive annual operational calendar for ETS, including the CIO’s calendar
- Act as a program coordinator of ETS programs and initiatives (e.g., Artificial Intelligence program), including preparing materials, facilitating committee activities, tracking discussions, and serving as a liaison for inquiries and updates
- Participate in the organization and execution of key projects and initiatives
- Coordinate with leadership and manage logistics for internal and external meetings, leadership events, strategy and planning sessions, and vendor engagements
- Schedule, participate, and document outcomes of various operational meetings including documenting and tracking decisions, action items, deadlines, deliverables, and responsible parties to ensure timely completion and alignment with defined requirements
- Maintain project dashboards, trackers, and reporting tools to support technology operations and show the operational status of ongoing initiatives
- Prepare, review, and edit correspondence, reports, briefing documents, presentations, and meeting agendas
- Create reports for leadership, including reports to the CAO and Commissioners, that summarize relevant data, technology updates, and reports
- Lead the development, organization, and maintenance of office documentation, including standard operating procedures (SOPs), standards, best practices, and approval workflows
- Serve as a primary point of contact for Enterprise Technology Services and triage inquiries and redirect matters as appropriate
- Support planning for day-to-day operations and special events
- Support procurement and contract related processes in partnership with OCC and Administrative Counsel
- Participate in business continuity and disaster recovery planning, testing, and implementation
- Assist with onboarding and offboarding activities for ETS staff
- Perform related work as required
Preferred Qualifications
- Six (6) or more years of experience in project or program coordination, program support, and/or administrative operations (or the equivalent combination of experience, education, and training)
- Experience working in a technology or IT environment preferred
- Ability to manage multiple calendars, initiatives, and projects simultaneously
- Skilled in meeting facilitation and documentation
- Ability to assemble, organize, and present reports, correspondence, briefing materials, meeting agendas, and presentations
- Proficient in standard workplace applications, specifically the Microsoft toolset (e.g., Office, SharePoint, Teams, Visio, Project, PowerBI)
- Basic knowledge of JIRA, Planner, or other Agile project management tools is a plus
- Strong interpersonal and communication skills (verbal and written)
- Ability to work in a fast-paced environment requiring adaptability, prioritization, and organization
- Ability to exercise initiative, maintain discretion and confidentiality, and be professional, dependable, and self-motivated
- Ability to work effectively in a team environment through collaboration, problem solving, and communication
- Ability to establish and maintain effective working relationships with Commission staff and vendors
