Duties and Responsibilities
- Provide comprehensive administrative support to attorneys, including calendar management, meeting scheduling, travel coordination, and expense processing.
- Monitor deal timelines and assist with managing competing deadlines during active transactions and closings.
- Support attorneys with conflicts checks requests, opening new matters, and drafting engagement letters.
- Opens and closes files as necessary, promptly handles the filing of legal or other administrative materials (physical and electronic).
- Assist with time entry, billing coordination, and follow-up on client invoices as needed.
- Maintain accurate client and matter records in firm systems.
- Types and edits documents quickly and accurately, proofreading for content and typographical errors.
- Handle client correspondence with professionalism and discretion.
- Act as a liaison between attorneys, clients, opposing counsel, internal departments, and external service providers.
- Coordinate with paralegals, general office clerks, and other professional assistants to support large transactions and overlapping workflows.
- Attends training classes to keep up to date with technological advances and software upgrades and liaise with offsite IT team in support of attorneys.
- Provides additional back-up coverage to other Professional Assistants as needed.
- Performs other duties as assigned.
Education
- High school diploma or equivalent.
- Three years legal secretarial experience required in a large law firm or comparable professional services environment.
- Requires strong legal and administrative skills, as well as an ability to multi-task and perform well under strict deadlines. Must be extremely well organized and detail-oriented.
- Significant experience supporting transactional law practices (Capital Markets, M&A, Private Equity, Finance, and/or Tax) strongly preferred.
- Client-service focused with a strong understanding of the demands of sophisticated transactional practices.
- Experience in NetDocuments (or an equivalent document management system), Microsoft Word (including creating and revising documents) and Outlook required; experience in PowerPoint, Excel, Emburse (ChromeRiver), InterAction (or an equivalent CRM system) Intapp Time, and DocuSign strongly preferred.
- Must have excellent written and verbal communication skills and be able to follow instructions effectively. Must be a self-starter who can work both independently or in a team environment.
- Must possess excellent customer service skills and be flexible in handling changing priorities necessary to support business needs. Must have professional telephone etiquette and excellent interpersonal skills.
- Must score 40 wpm with a 2% or lower error rate on the firm’s legal typing test and 76% or higher on the firm’s legal spelling test. Must understand and maintain confidentiality of the attorney-client relationship.
- Job is performed in a typical office environment, but is subject to time pressures and constraints, and is primarily dependent on input from others.
- Long hours are required periodically and overtime may be required.
