Duties and Responsibilities
Primary
- Case Management
- Collaborate with attorneys on initial case work-up, organization and review of preliminary documents and investigation of fact issues.
- Assist with identification of custodians, key client contacts and potential witnesses.
- Conduct legal, witness and entity research (including Lexis, Westlaw, and SOS research).
- Research venue and jurisdiction local rules.
- Collaborate with in-house client legal team, key witnesses and relevant third-party affiliates identified as persons with knowledge of relevant facts.
- Collaborate with legal team to develop efficient and intuitive file structure for individualized matters.
- Maintain organization of all case data, work product and information throughout the life of a matter.
- Analyze audit requests, coordinate with timekeepers, and finalize audit responses.
- Work with e-discovery providers and case teams to assist in the production of documents.
- Case Work-Up
- Monitor case filings and consult with Firm personnel as required through Pacer and PacerPro.
- Assist with proofreading, cite-checking, and table-checking of motions and briefs.
- Assist with drafting notices and subpoenas.
- Work with process servers to manage and track the service of subpoenas and complaints.
- Compile supporting evidence and exhibits for motions and briefs, including appellate records and proposing redactions to documents subject to protective orders
- Deposition scheduling and liaise with court reporting services, including court reporter and videographer staffing.
- Identify and assemble exhibits for depositions, including creating binders and boxes necessary for remote and in-person depositions.
- Assist with preparation of witness outlines, templates, and research prior subject matter witness outlines.
- Data Management, Review, and Document Productions
- Coordinate with the Firm’s e-Discovery professionals regarding data collection, custodial issues, and document reviews.
- Manage complex document database review projects.
- Tagging, field selection and categorizing database materials.
- Conduct database searches.
- Assist with production reviews and service to counsel (coordinate export with the Firm’s e-Discovery team).
- Select and coordinate with third-party translation services for document translation and certification.
- Document review, Bates labeling and production of hard-copy materials.
- Formal Proceedings
- Preparation and assistance at mediations, arbitrations, administrative hearings, evidentiary hearings, and trials.
- Point of contact for logistics for local and remote proceedings – Court, local counsel, accommodations, workspace, technology, etc.
- Negotiations and contracts for trial team accommodations, space requirements and lodging.
- Coordinate with the Firm’s in-house IT, third-party IT vendors and local counsel regarding technology requirements and equipment.
- Communications and interaction with court personnel.
- Liaise with testifying witness(es) regarding scheduling and preparation for live testimony.
- Research and assembly of trial, arbitration, and evidentiary hearing exhibits.
- Source of templates for openings, closings, witness examination outlines, including graphics and PowerPoints previously used at formal proceedings.
- Achieves billable hourly requirement set by the Firm.
- Ensure timely processing of invoices related to vendor services contracted on behalf of a client or attorney; liase with the Firm’s Professional Assistant(s) as needed.
- Prepare daily time entries and submit weekly overtime reports for services performed.
- Must be extremely organized and able to maintain a high case volume.
- Excellent communication skills and a polished presentation are also needed.
- Independently manage day-to-day workload while working under the general supervision of assigned attorneys.
Minimum Qualifications
- Bachelor’s degree required; paralegal certificate preferred.
- Minimum five years’ experience preferred. Broad-based commercial litigation experience required.
- Strong knowledge of Intellectual Property law is a plus.
- Technical expertise in the full suite of Microsoft Office, LexisNexis (including TextMap), WestLaw, Pacer/PacerPro, Relativity and other document production and review platforms, OnCue, CourtAlert, familiarity with e-filing software or California e-filing system.
- Work with limited supervision; keen attention to detail; excellent oral and written communication skills; strong organizational and time management skills; excellent collaboration and communication skills, ability to multi-task; ability to understand and analyze legal issues.
- Ability to learn and embrace new skills and best practices as the position evolves and Firm needs change. Ability to develop relationships and foster teamwork at all levels of the Firm. Ability to maintain confidentiality, and to exercise discretion and good judgment.
- Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others.
- Overtime and travel may be required.
