Duties
- Greet visitors and answer multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette and customer support.
- Manage front desk responsibilities, including greeting property owners, handling inquiries, and directing calls appropriately.
- Perform data entry, filing, and document proofreading to maintain accurate records and support administrative functions.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools to prepare reports, schedule appointments, and manage correspondence.
- Oversee office tasks such as supply inventory, calendar management, and coordinating meetings or appointments.
- Assist with bookkeeping and accounting
- Assist with billing, payments, permits and record keeping
- Provide clerical support, including typing documents, organizing files, and supporting customer service efforts to enhance client satisfaction.
Experience
- Prior office experience or administrative experience demonstrating proficiency in clerical tasks and customer service.
- Strong computer literacy with knowledge of Microsoft Office programs, Google Workspace, BS&A, and data entry skills.
- Experience working with multi-line phone systems and managing front desk operations in a professional setting.
- Familiarity with office practices such as filing systems, calendar management, and time management strategies.
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows and confidentiality.
- Excellent organizational skills with attention to detail in proofreading, data entry accuracy, and maintaining organized records.
