Chief’s Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to support the Chief of Police in managing daily operations, correspondence, and high level, confidential administrative functions. This vital role requires a proactive professional with exceptional organizational skills, attention to detail, and the ability to handle multiple priorities with efficiency. The ideal candidate will serve as a key point of contact, facilitating communication between the Chief and internal teams, external agencies, and the community. Your energetic approach and dedication will help ensure the smooth functioning of the police department’s executive office.

Responsibilities

· Provide comprehensive administrative support to the Chief of Police

· Handle sensitive, high-profile communications

· Answer phones, email, walk-ins with professionalism and courtesy

· Sort and distribute sensitive department mail

· Provide excellent customer service including handling & deescalating difficult people

· Respond & manage FOIA Requests within the timeline parameters

· Receive citation & sex offender payments, & manage accounts receivable

· Prepare, proofread, and transcribe official documents, reports, correspondence, and presentations with accuracy and professionalism.

· Organize and maintain filing systems—both electronic and paper—ensuring easy retrieval of information while safeguarding sensitive data.

· Perform basic filing

· Learn & successfully operate multiple computer systems including but not limited to RMS, DACRA, LEADS, Getac, Microsoft Suites, and other software

· Know basic computer functions such as attaching video & files to emails, organizing digital documents, and other functions

· Complete virtual training for necessary job functions

· Maintain confidentiality in all matters related to police operations and personnel information.

· Support personal assistant duties as needed for the Chief of Police including travel arrangements and personal scheduling.

· Maintain a clean and organized office environment.

· Support the Chief with other assigned duties as necessary.

Requirements

  • High school diploma or equivalent.
  • Pass a criminal background check
  • Proven experience in an administrative or office support role is preferred.
  • Practices discretion & confidentiality
  • Strong organizational skills and the ability to work independently or as part of a team
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Proficient in using standard computer applications
  • Excellent phone etiquette and communication skills.
  • Ability to proofread documents with attention to detail.
  • Familiarity with office equipment and phone systems.

Physical Demands of the Position:

· Sitting: Extended periods of sitting at a desk.

· Manual Dexterity: High-frequency use of hands, fingers, and wrists for typing, using a mouse, and handling documents.

· Visual Acuity: Close vision is required for reading, editing, and using computer screens.

· Lifting/Carrying: Light lifting, typically under 10–30 lbs (e.g., reams of paper, files), is common, with rare lifting up to 50 lbs.

· Movement: Occasional walking, standing, bending, crouching, and reaching above shoulders to manage files, supplies, and office equipment.

· Communication: Frequently speaking and hearing to communicate in person and on the telephone.

Pay: $20.07 per hour
