JOB SUMMARY:Provides contract compliance support to the Landscape Manager. Assists in a variety of project development and maintenance programs including data management, report writing, program coordination, and contract administration. ESSENTIAL FUNCTIONS:Under direction, inspects the work of landscape contractors for compliance with contract documents, written scopes of work, industry standards, regulations and adherence to schedules and timetables. Documents work progress through the preparation of daily and weekly reports. Attends meetings and documents meeting minutes, organizes project folders, assists in preparation of RFPs, schedules meetings, monitors project assignments, reviews project logs, processes invoices, uploads documents in electronic format, searches drawing data base for as built plans, processes close out packages, and distributes program notifications. Provides technical leadership daily. Coordinates activities and interfaces with regulatory agencies, utility providers, professional consultants, contractors and residents as required.Maintains a variety of records including those relating to contracts, budgets, project progress, requests for information, submittals, plans, specifications, engineering records, and other technical materials. Drives a vehicle to meetings, workshops, and other job-related responsibilities. Works effectively with co-workers, customers and others by sharing ideas in a constructiveand positive manner; listens to and objectively considers ideas and suggestions from others; keeps commitments; keeps others informed of work progress, timetables and issues; addresses problems and issues constructively to find mutually acceptable and practical business solutions; addresses others by name, title or other respectful identifier, and respects the diversity of our work force in actions, words and deeds. Regular Attendance Required. All duties performed on site for the Community NON-ESSENTIAL FUNCTIONS:Assist others in office with priority projects that impact the division on an as-needed basis.EQUIPMENT OPERATED:Car, PC, printer, copier, fax machine, calculator, telephone, camera. WORK ENVIRONMENT:While performing the duties of this job, the employee is in a climate-controlled indoor office and normal outdoor elements.DESIRABLE QUALIFICATIONS:Graduation from high school or two-year college with experience in contract management, business administration or equivalent combination of education and experience which produces the following: Knowledge of computer and applicable software programs. Knowledge of the principles of administrative management Knowledge of methods of report documentation. Knowledge of administrative practices and procedures related to project management. Ability to write and orally present clear and concise reports. Ability to maintain effective working relationships with other employees, the public, contractors, and consultants, and to deal with public relations problems courteously and tactfully. Ability to multi-task, remain flexible, prioritize, and delegate appropriately.SPECIAL REQUIREMENTS:Possession of a valid California driver’s license.Possession of a ISA Arborists Certificate within 12 months of hire.PHYSICAL REQUIREMENTS:While performing the duties of this job, the employee is frequently required to talk, hear, use hands and fingers to grasp, feel, and reach. Is regularly required to sit for long periods of time. Salary : $70,300 - $79,740
