JOB SUMMARY:
The Advancement Coordinator is a key role supporting both fundraising and communications activities at Vibrant Works. This position enhances donor engagement, strengthens fundraising initiatives, and helps elevate the organization’s mission through effective, accessible, and mission-aligned communication.
The ideal candidate is highly organized, detail-driven, and skilled in managing both operational processes and creative content development. The role requires strong writing skills, a systems mindset, and the ability to translate impact into compelling stories for donors and the broader community.
JOB FUNCTIONS AND RESPONSIBILITIES:
Organizational Values

Development & Fundraising (Primary – ~50%)
Donor Relations & Stewardship
- Maintain accurate donor records and acknowledgment processes in CRM systems and event platforms
- Support donor recognition and stewardship communications, including thank-you letters and impact reporting
- Assist with donor research, segmentation, and wealth screening to support targeted engagement
- Coordinate development-related materials and cross-functional communication, including board support
Fundraising Campaigns
- Coordinate logistics and outreach for annual giving, major gifts, and special campaigns
- Collaborate with Communications to develop fundraising materials and content
- Track campaign performance and prepare progress reports
- Contribute insights to improve fundraising effectiveness
Events & Engagement
- Support planning and execution of fundraising and cultivation events
- Manage logistics including invitations, RSVPs, vendors, volunteers, and day-of coordination
- Coordinate auction items, in-kind donations, and event-related fundraising elements
- Assist with event budgets and post-event reporting
Administration & Operations
- Maintain organized development files, reports, and documentation
- Ensure CRM data integrity, including donor history and engagement tracking
- Prepare monthly revenue and activity reports in collaboration with Finance and IT
- Support gift processing and reconciliation with Accounts Receivable
- Provide administrative support including scheduling, meeting prep, and note-taking
Communications (Dotted Line – ~50%)
Content Creation & Storytelling
- Draft social media content aligned with campaigns and priorities
- Write impact stories and mission-driven content for multiple audiences
- Gather stories and content across departments to support storytelling
Marketing & Digital Communications
- Assist in developing and distributing email newsletters and internal communications
- Create digital and print materials (flyers, graphics, presentations, event collateral)
- Support website updates to ensure accuracy and alignment with messaging
Campaign & Brand Support
- Support execution of communications campaigns under Communications leadership
- Assist with messaging and promotion for key events and initiatives
- Ensure content aligns with brand voice and organizational priorities
Accessibility & Quality
- Write alt text and support accessible communication practices
- Ensure materials meet accessibility and clarity standards
Qualifications
EDUCATION/EXPERIENCE:
- Bachelor’s degree in communications, marketing, nonprofit management, or related field (or equivalent experience)
- Minimum 2 years of experience in development, communications, marketing, or nonprofit roles
- Experience with fundraising campaigns, donor relations, or content creation preferred
SKILLS/ABILITIES:
- Strong writing, editing, and storytelling abilities
- Excellent organizational and project management skills
- Experience with CRM systems (Salesforce preferred) and email marketing tools
- Familiarity with social media platforms and basic graphic design tools (Canva or Adobe)
- Understanding of accessible communications best practices
- Strong interpersonal and collaboration skills
- High attention to detail and ability to manage multiple priorities

PHYSICAL REQUIREMENTS:
- Ability to lift, carry, or transport materials up to 20 lbs
- Prolonged periods of sitting at a desk and working on a computer
- Occasional standing and walking during events
- Occasional bending, reaching, and light physical tasks related to event setup
- Ability to work flexible hours as needed for major events or deadlines
