Job Title: Recruiting Coordinator (Retail Hiring Support)
Location: Johnston, RI (Hybrid – 4 days onsite)
Duration: 6 Months with possible extension
Pay Rate: $29.57/hr W2
Schedule: Flexible (4 days or less in office depending on business needs)
Job Summary:
The Recruiting Coordinator will provide end-to-end administrative and coordination support to the recruiting team. This role focuses on interview scheduling, candidate communication, offer support, and recruiting operations, ensuring a seamless hiring experience for candidates, recruiters, and hiring managers.
Key Responsibilities:
- Coordinate and schedule interviews (1:1 and panel) across multiple roles and levels
- Manage candidate communication, confirmations, and scheduling logistics
- Arrange conference rooms, video interviews, and travel logistics when required
- Support offer letter creation and quality checks
- Confirm start dates and initiate onboarding/preboarding activities
- Assist candidates and recruiters with applicant tracking system (ATS) actions (applications, offer acceptance, etc.)
- Escalate system issues and identify trends for process improvement
- Provide exceptional customer service to candidates, recruiters, and hiring managers
- Support automated interview tools (e.g., Paradox) and coordination workflows
- Maintain accurate records and meet SLA timelines for recruiting activities
- Participate in process improvement initiatives and recruiting projects
Required Qualifications:
- 0–3 years of experience in recruiting coordination, HR, or administrative support
- Strong organizational and coordination skills
- Excellent communication skills (written & verbal)
- Ability to work in a fast-paced, high-volume environment
- Strong attention to detail and ability to manage multiple priorities
- Proficiency in Microsoft Office (Outlook, Excel, Teams)
- Ability to work both independently and collaboratively
Preferred Skills:
- Experience with Applicant Tracking Systems (ATS) – ideally Oracle Recruiting Cloud
- Exposure to recruiting, talent acquisition, or HR processes
- Experience supporting multiple recruiters or stakeholders
- Familiarity with automated interview tools (e.g., Paradox)

- Hybrid role – 4 days onsite in Johnston, RI
