You will focus on managing volunteer intake, onboarding logistics, and ensuring a professional and organized experience for incoming volunteers.
Intake & Pipeline Management
- Track applicants from initial application through final placement
- Maintain visibility of all candidates in the onboarding pipeline
- Ensure timely movement of volunteers through each stage
- Schedule interviews or introductory calls with leadership/team leads
- Send confirmations, updates, reminders, and welcome communications
- Provide a professional and positive first impression of VPMMA
- Track required forms and onboarding documentation
- Coordinate volunteer orientation sessions
- Confirm facilitators and logistics for each onboarding session
- Answer onboarding questions from new volunteers
- Guide volunteers through next steps after orientation
- Coordinate handoff to managers/team leads for placement
- Provide updates to leadership regarding onboarding activity and pipeline status
- Maintain current onboarding procedures and resources in the knowledge base
- Recommend process improvements for a smoother volunteer experience
- Assist with recruitment messaging, volunteer communications, and HR-related announcements as needed
