Responsibilities
- Answer appointment requests (phone & email) for new or returning clients.
- Treat and greet all clients as if they were family. We want to ensure each client feels comfortable with our staff during the most difficult situations.
- Neat and accurate record keeping of client information. Attention to detail is required in this role.
- Maintain accurate patient records, including medical history and treatment plans.
- Collaborate with veterinary nurses, doctors, and managers to keep the workflow smooth.
- Initiate call-backs for test results, follow-ups, or client check-ins.
- Uphold confidentiality of client, patient, and clinic information.
- Assist in triaging patients by gathering details about presenting concerns, symptoms, and urgency.
- Easily recognize emergencies (difficulty breathing, uncontrolled bleeding, trauma, etc.) and notify medical staff immediately.
- Clearly explain clinic policies, procedures, and financial expectations.
- Process payments, deposits, Care Credit and other third party financing applications.
- Support inventory management by communicating office supply needs to the practice manager.
- Act as a liaison between clients and the veterinary staff, ensuring clear and timely communication.
- Provide empathy and understanding during euthanasia discussions or critical patient updates.
- Provide information to clients regarding veterinary services, procedures, and pet care.
- Support veterinary staff with administrative tasks as needed, including laboratory work and aseptic technique.
- Maintain cleanliness and organization of the lobby, front desk, and client areas.
- Contribute to a positive team environment by assisting colleagues and supporting the workflow.
Requirements
- Previous experience in veterinary medicine, urgent or emergency care preferred.
- Strong interpersonal skills with the ability to treat every client with empathy, compassion, and professionalism.
- Excellent verbal and written communications skills; must be able to clearly explain clinic policies, services, and financial details.
- High attention to detail with proven ability to maintain accurate client and patient records.
- Multitasking and managing phone, email, and in-person client interactions in a fast-paced environment.
- Proficiency with computers, scheduling systems, and payment processing platforms (including Care Credit, Cherry, Scratch Pay, and All Pet).
- Experience in animal handling, including dog handling and animal restraint techniques.
- Strong communication skills to interact effectively with clients and team members.
- Emotional resilience and compassion when assisting clients during stressful or end-of-life situations.
- Flexibility to adapt to changing priorities and willingness to assist colleagues in different roles when needed.

Important to Note: This position requires flexibility to work a mix of days, evenings, weekends, and holidays to ensure the clinic is appropriately staffed and our patients receive the care they need. We value work-life balance and post schedules several weeks in advance to allow for proper planning.
