Vesta Builders is a boutique residential design-build firm based in San Diego, specializing in high-end kitchens, bathrooms, whole-home remodels, and ADUs. We recently opened our office and are intentionally building a lean, high-functioning operations team.
We’re hiring a Construction Operations Coordinator to work directly with the owner and take ownership of day-to-day operational coordination. This is not a high-volume admin role. It’s a hands-on position for someone who understands construction workflows, values organization, and wants to grow into a key operations role as the company scales.
This role blends office coordination with light field presence and is ideal for someone who enjoys responsibility, variety, and being close to decision-making.
What You’ll Be Responsible For
- Owning subcontractor scheduling and confirmations
- Coordinating permit submissions, tracking, and inspections
- Communicating with vendors and suppliers
- Maintaining clean, accurate project files and documentation
- Tracking receipts, invoices, and operational paperwork
- Supporting client and subcontractor communication
- Visiting job sites periodically to confirm progress and flag issues
- Helping build and improve operational workflows as the company grows
Process & Improvement Mindset
This role goes beyond task execution. We’re looking for someone who naturally brings structure to moving parts and helps improve how things are done. In a small, growing company, this means noticing inefficiencies, suggesting better ways to handle recurring tasks, and helping turn day-to-day work into simple, repeatable processes that actually get used.
You don’t need formal process or SOP experience, but you should enjoy organizing workflows and making things run smoother over time.
Who This Role Is For
- Someone with 3 years experience in construction operations, coordination, or GC admin
- Experience with residential construction, design-build, or trade contractors
- Comfortable operating independently without micromanagement
- Organized, proactive, and detail-oriented
- Comfortable wearing multiple hats in a small, growing company
- Interested in growing into a more senior operations role over time
Bilingual English/Spanish is a plus. Reliable transportation required.
