Position Overview
VES Energy, LLC is seeking an experienced and detail-oriented Payroll / Union Reporting and Certified Payroll Specialist to oversee critical payroll compliance functions for our construction operations. This position is primarily responsible for weekly payroll processing, union reporting, and certified payroll reporting, with a strong emphasis on accuracy, timeliness, and compliance with applicable regulations and contract requirements.
The ideal candidate will have prior experience in construction payroll and compliance reporting, strong organizational skills, and the ability to manage multiple deadlines in a fast-paced environment. Additional accounting and administrative duties may be assigned as needed.
Primary Responsibilities
- Process weekly payroll for construction employees, ensuring accurate calculation of wages, overtime, bonuses, deductions, and garnishments
- Administer multi-state payroll in compliance with applicable state and federal regulations
- Prepare, review, and submit weekly certified payroll reports in accordance with prevailing wage laws and project requirements
- Prepare and process union reports and union fringe benefit payments accurately and on time
- Maintain payroll records, employee pay data, tax withholding information, and related compliance documentation
- Reconcile payroll data to ensure accuracy and completeness
- Generate payroll-related compliance and audit support reports
- Prepare quarterly and annual payroll returns for review
- Maintain payroll systems and organized supporting documentation
- Assist with other accounting, bookkeeping, and administrative duties as assigned
Required Qualifications
- Minimum 2 years of payroll experience in a business environment
- Experience with union reporting and/or certified payroll reporting
- Strong understanding of payroll processes, deadlines, and compliance requirements
- High level of accuracy, confidentiality, and attention to detail
- Strong organizational and time management skills
- Ability to manage multiple priorities and meet recurring reporting deadlines
- Proficiency in Microsoft Office, especially Excel and Outlook
- Strong written and verbal communication skills
- Ability to work independently and collaboratively in an office setting
Preferred Qualifications
- Experience with construction payroll
- Experience with prevailing wage reporting requirements
- Experience processing multi-state payroll
- Experience with union fringe benefit reporting and payments
- Experience with QuickBooks Desktop
- Associate degree or higher in Accounting, Business Administration, Finance, or a related field
Education
- High school diploma or equivalent required
- Associate degree or relevant coursework in Accounting, Business Administration, Finance, Bookkeeping, or a related field preferred
Schedule and Work Location
